Position Summary

American Equipment Manufacturing is seeking a highly organized, proactive, and discreet Executive Assistant to provide direct support to senior management and help keep priorities, communication, and day-to-day executive activities moving efficiently. This role is ideal for a polished professional who anticipates needs, brings structure to a fast-moving environment, and follows through with minimal direction. The Executive Assistant will serve as a trusted point of coordination across the company and with customers, vendors, and business partners.

Essential Responsibilities

• Manage calendars, appointments, meetings, reminders, and evolving priorities.

• Coordinate meeting logistics, agendas, notes, follow-up items, and key deadlines.

• Prepare, proofread, and organize correspondence, reports, presentations, and other business documents.

• Screen and organize incoming communications and requests to help ensure timely responses and follow-through.

• Coordinate travel, itineraries, reservations, and related logistics as needed.

• Maintain confidential executive files and records and handle sensitive information with discretion.

Qualifications & Job Details

• Prior experience supporting an executive, business owner, senior leader, or fast-paced office strongly preferred.

• Professional, polished communication and sound judgment.

• Experience working with customer billing and invoicing platforms, such as OpenInvoice and GEP SMART.

• Proficiency with ERP systems, with the ability to learn and navigate new systems quickly.

• Exceptional organization, follow-through, and attention to detail.

• Ability to manage multiple priorities, frequent changes, and time-sensitive requests.

• High level of discretion and confidentiality; resourceful and comfortable taking initiative.

• Bachelor’s degree in Business Administration, Management, Accounting, or related field preferred.
