Description

We are seeking an experienced Commercial Escrow Officer to join our team at a fast-growing title agency. The Commercial Escrow Officer manages commercial real estate transactions from opening through post-closing, including acquisitions, refinances, construction loans, multi-property portfolios, and 1031 exchanges. This role works directly with attorneys, institutional lenders, brokers, and title underwriters on transactions where terms are negotiated rather than standardized. The ideal candidate reads dense, non-standard documentation with confidence, recognizes which details carry risk, and can hold a complex file together across a long due diligence period.

Key Responsibilities

• Manage commercial escrow transactions end to end, including acquisitions, refinances, construction and permanent financing, portfolio and multi-site closings, and 1031 exchanges.
• Review and interpret negotiated transaction and loan documents, and reconcile their terms against title and closing requirements.
• Work through Schedule B requirements and exceptions, including entity authority, survey matters, mechanic's lien exposure, UCC and fixture filings, assignments of leases and rents, easements, and access.
• Coordinate endorsement requests with the underwriter on the file, escalate matters requiring underwriting approval, and document all approvals in writing.
• Prepare and review settlement statements and disbursement schedules, including prorations, holdbacks, and post-closing escrows.
• Manage escrow and disbursement on high-value transactions, including construction draws and closings in escrow, under strict wire verification and trust accounting controls.
• Track critical dates across due diligence, financing, and closing, and drive each file toward a firm closing date.
• Serve as the single point of contact on assigned files and maintain the working relationships with counsel, lenders, and brokers that repeat business depends on.

Requirements

• High school diploma or equivalent.
• 5 or more years of escrow experience, with at least 2 years handling commercial transactions.
• Working knowledge of commercial title insurance, including ALTA policy forms, the 2006 and 2021 jackets, and the endorsement set commonly required on commercial deals.
• Ability to determine signing authority from entity records and to identify title implications in a survey.
• Experience with escrow and title production software, ResWare strongly preferred, and proficiency with Excel for disbursement and proration work.
• Working knowledge of federal and state regulations applicable to commercial closings, including RESPA Section 8 and applicable anti-money laundering and beneficial ownership reporting requirements.
• Disciplined handling of large-dollar wires and strict adherence to funds verification and wire fraud prevention procedures.
• Strong written communication, including the ability to correspond directly with attorneys and underwriting counsel.
• A notary public license or the ability to obtain one within a specified time frame.

Requirements:

• High school diploma or equivalent.
• 3-5 years of experience as an Escrow Officer, with specific experience in commercial real estate transactions.
• Strong knowledge of commercial escrow procedures, title insurance, and real estate closing processes.
• Proficiency with escrow and title software systems (e.g., SoftPro, RamQuest, or ResWare) and Microsoft Office Suite.
• Strong organizational skills and the ability to manage multiple complex transactions simultaneously.
• Excellent communication and interpersonal skills to effectively interact with clients, attorneys, lenders, brokers, and other stakeholders.
• High attention to detail and accuracy in preparing and reviewing legal documents.
• Ability to resolve issues proactively and work under tight deadlines.
• Knowledge of federal, state, and local real estate laws and regulations, including RESPA and TRID.
• Notary public license or the ability to obtain one within a designated time frame.

Preferred Qualifications:

• Bachelor’s degree in real estate, business, or a related field is preferred.
• Previous experience handling multi-million-dollar commercial transactions.
• Existing relationships with commercial real estate professionals, lenders, and attorneys.
• Professional certification or advanced training in escrow and title services.
• Experience with managing escrow for complex property types such as industrial, retail, office buildings, and multi-family housing.
