This position also selects, implements, and manages a help desk platform to streamline how staff request and receive IT support. The Technology Specialist reports to the Finance Director and works closely with the Building Assistant on technology systems that intersect with building operations. This is a hybrid position: primarily on-site with a remote/on-call component to support clinic operations during all hours the clinic is open. Primary Duties Staff Support and Help Desk Management Provide direct, hands-on technology support to clinic staff, including troubleshooting hardware, software, and connectivity issues. Select, implement, and manage a help desk ticketing platform to provide a single, clear system for staff to submit IT requests. Triage and respond to IT support requests in a timely manner, following through to resolution and communicating status to the requester. Establish and maintain defined service windows for routine IT support, and a clear escalation process for urgent issues outside those windows. Develop and maintain self-service resources, including how-to guides and a knowledge base, to help staff resolve common technology issues independently. Purchase, set up, install, and onboard new computers (Windows, Microsoft Suite, Google Workspace), coordinating with Med Tech Solutions as needed. Create and maintain an inventory of all computers and users, including service dates and replacement timelines. Provide training for staff on technology-related systems including computers, phones, teleconferencing equipment, Google Workspace, and other tools. Infrastructure and Systems Administration Administer and manage the organization’s Google Workspace environment, including user accounts, permissions, distribution lists, and onboarding/offboarding. Manage local hardware and equipment: workstations, printers, phones, teleconferencing devices, and related peripherals. Coordinate with Med Tech Solutions (MTS) on network infrastructure, remote desktop servers, and EHR (NextGen) system access, ensuring staff can reliably connect to all systems from clinic devices. Monitor and manage software licensing, renewals, and upgrades. Backup the Clinic Operations Specialist for NextGen troubleshooting and support. Troubleshoot and assist Advancement Department staff with the Neon donor database, as needed. Coordinate with MTS to monitor the health of the local network via the Cisco Meraki platform. Websites and Intranet Maintain and update the organization’s Intranet as a staff communication tool, including organizational updates and changes as requested by management. Provide Intranet support and training to staff. Make routine updates to Family Tree Clinic’s website and the Hotline website (e.g., posting job openings, updating content), coordinating with external vendors for significant changes or redesigns. Security and Compliance Follow and promote IT security best practices appropriate for a healthcare environment. Coordinate with MTS on security measures for the EHR and remote desktop environment. Maintain confidential records and information in accordance with organizational policy. Technology Planning and Procurement Work as part of a team making decisions around new technology, systems, and equipment. Research and recommend technology solutions that improve clinic operations and staff productivity. Manage the technology budget in coordination with the Finance Director, including hardware replacement planning and software procurement. Collaboration Work with the Building Assistant as needed to troubleshoot building systems that intersect with IT, including HVAC, intrusion detection, video surveillance, card access, electronic locks, and related systems. Participate in organizational trainings, workshops, and meetings focused on racial justice and anti-oppression. Perform additional tasks and responsibilities as assigned. Supervisory Responsibilities: this position has no supervisory responsibilities. Qualifications Required: Experience administering Google Workspace at an organizational level (user management, permissions, security settings). Demonstrated ability to provide responsive, hands-on IT support, including hardware and software troubleshooting. Experience implementing and managing a help desk or ticketing system. Familiarity with network fundamentals (routers, switches, firewalls, WiFi) and the ability to coordinate with a managed IT vendor on network issues. Capacity to work with technology support vendors and contractors. Ability to manage and prioritize multiple concurrent support requests and projects. Strong communication skills: ability to explain technical issues clearly to non-technical staff and to document systems and procedures. Ability to maintain confidential records and information. Comfortable working independently and as part of a team. Ability to respond during off hours to urgent or emergency technology situations at the building. Ability and willingness to challenge and change systemic and personal actions and behaviors that contribute to systems of oppression. Preferred: Experience with IT operations in a healthcare or clinic environment. IT Certification or Associate Degree. Familiarity with HIPAA security practices as they relate to IT systems and data handling. Experience with content management systems (e.g., WordPress) for routine website updates. Experience supporting or coordinating with vendors on electronic health record (EHR) systems. Familiarity with building systems that intersect with IT (access control, security cameras, alarm systems). Experience developing self-service documentation, training materials, or knowledge bases for end users. Salary & Benefits: Starting hourly wage is $30 or higher based on experience and qualifications beyond what is required in the job description. This is a benefits-eligible position consisting of 11 paid holidays, 15 paid vacation days and 15 paid sick days to start (paid time off increases after one year), 2 paid personal days; medical, dental, vision, life, and long-term disability insurances; a 401k with employer matched contributions. With all benefits included, the total effective compensation package may be valued upwards of $44 per hour. This figure represents the combined value of wages and benefits if maximum benefits are selected. It is not the hourly base wage. Hours: 40 hours per week. This is a hybrid position: approximately 30-32 hours per week on-site at the clinic, with the remainder of hours worked remotely or on-call. During scheduled remote hours, the Technology Specialist is expected to be available to respond to urgent IT requests and to come on-site if an issue arises that cannot be resolved remotely and is affecting clinic operations. Some evening or weekend emergency response work may be needed. Supervisor: Finance Director Typical Working Conditions & Physical Requirements: Use of office equipment requiring full manual dexterity, eye-hand coordination, and alertness. The position spends a considerable amount of time working in an open office setting at a computer with a sit/stand desk. The position requires the ability to lift 50 pounds or more, climb ladders, and bend and crawl to install and troubleshoot computers. Combination of office and clinic environment. Hazards common to clinical and educational environments including potential exposure to communicable diseases. Remote work is performed from a home office or other appropriate location during scheduled remote/on-call hours.
