The Role We are hiring a Project Coordinator to help keep our client engagements running well. This is an operational and coordination role at its core - and it matters a lot. You will work directly with our VP of Product Development, supporting delivery across multiple active client engagements. You will keep projects organized, risks visible, decisions tracked, and teams aligned. You will also be a point of contact for clients on day-to-day items - knowing when to handle something proactively and when to accelerate. This role is right for someone who is genuinely good at the craft of coordination: organized by instinct, clear in communication, and calm when things get complicated. What You'll Do Delivery Coordination Maintain Project Documentation - RAID logs (Risks, Assumptions, Issues, Dependencies) and decision logs across active engagements Track action items and follow-ups to resolution - nothing falls through the cracks Surface risks and flag dependencies before they become problems Scheduling, preparation, and follow-up for internal and client-facing meetings Maintain project systems (Linear, Smartsheets, JIRA) as accurate sources of truth Keep internal documentation, templates, and processes organized and current Client Communication Serve as a day-to-day point of contact for clients on coordination and status items Handle routine client questions and requests proactively; elevate when judgment calls or scope decisions are involved Support meeting prep, agendas, and follow-up documentation for client check-ins Operational Support Track budget burn and flag variances across engagements Coordinate with vendors and contractors on scheduling and deliverables Identify small operational gaps and implement simple, durable fixes What We're Looking For Core Capabilities Organized by instinct - you create systems, close loops, and maintain clarity without being asked Clear communicator - written and verbal, adaptable to different audiences Proactive - you anticipate what is coming and get ahead of it Client-aware - you can read a situation, manage expectations, and know when to elevate Ownership mindset - you take responsibility for outcomes, not just tasks How You Work Calm under pressure - priorities shift, and you stay grounded Low ego, high output - you step in where needed and focus on getting things done Pragmatic - you favor simple, effective solutions AI-minded - you are comfortable using AI tools in your day-to-day work, and curious about how they can make you more effective Qualifications 2-5 years of experience in project coordination, operations, account support, or a similar role Experience working in an agency, consultancy, or client-services environment is a plus Proficiency with project management tools - we use Linear, Smartsheets, and JIRA Comfort with Google Workspace and standard office software tools Ability to manage multiple workstreams and stay organized across contexts Why This Role Matters At Germinate, delivery execution and client relationships are inseparable.
