Location: KDA Headquarters in Manhattan, Kansas The Kansas Department of Agriculture Food Safety and Lodging Program seeks an organized and efficient professional, highly experienced in general office, clerical and administrative support work. This position serves as a backup to maintain office support for program performance, and must be willing and enthusiastic to learn new tasks. Professionals with a strong team focus and who are eager to support the growth and development of program staff are encouraged to apply for this position. Position Summary & Responsibilities: This position serves as the Senior Administrative Assistant for the Food Safety and Lodging Program. The food safety program is the lead agency charged with enforcement of the Kansas Food Drug and Cosmetic Act, K.S.A. 65-655 et seq.; Hotel and lodging laws, K.S.A. 36-501 et seq.; the Kansas Egg Law, K.S.A. 2-2501 et seq.; and the rules and regulations promulgated pursuant to those acts. This position will be required to acquire and maintain knowledge regarding the program. Primary contact with external stakeholders, answering routine food safety and lodging questions. Most of this interaction takes place answering and returning phone calls, as well as, through email communication. This position receives and tasks all complaints for the program. Complaints can be submitted in person, by phone, email, or mail. Once complaint is recorded, a task must be sent to the proper inspector, the inspector's district manager, and possibly EPI. Tracking of the complaints to ensure complaint inspection guidelines are followed is also required. This position is responsible for ordering and inventory of program supplies. Disseminates supplies to program staff, as needed. This position will serve as back-up for processing and tracking applications/renewals and fees for licenses. Will also serve as back-up to create and submit travel and expense requisitions in SMART system. This position performs other various clerical duties for the program and the Program Manager. These duties include but are not limited to; opening and sorting mail, preparing and entering data, maintain program supplies and scheduling meetings. Minimum Qualifications: * Professionally minded individuals with at least one year of direct experience in general office, clerical and administrative support work. Candidates may also qualify through a combination of relevant work experience, education, training or certification. * This position must perform routine office tasks such as sitting, reading, examining documents, and viewing a computer for long periods of time. * This position requires the physical dexterity that permits standing, kneeling, bending, and stretching; climbing up and down steps; and lifting objects. * Excellent organizational skills with knowledge and proficiency in Microsoft Office Products and tools. * Experience with data entry and database management. * Must be able to work independently collecting and compiling information from a variety of resources. * Excellent written and verbal communication skills. * Must be able to learn, read, and comprehend written directions, policies, statutes, and regulations. * Employee must have a valid Class C (or higher) Kansas driver's license or equivalent license from another state. Employee is responsible for maintaining an acceptable driving record to safely drive state vehicle and be willing and able to fulfill all job-related travel normally associated with this position. Preferred Qualifications (Not Required): * Knowledge of relevant state and federal statutes, regulations, and policies. * Knowledge of the food service industry and basic food safety knowledge. * Bilingual in Spanish.
