Role Description The Customer Service/Sales Coordinator (B2B) is a full-time, on-site role based in Wyckoff, NJ. This position supports business-to-business customers by handling inbound inquiries, providing product information, processing orders, and coordinating shipments in a timely and accurate manner. The coordinator works closely with the sales team to prepare quotes, follow up on leads, maintain customer records, and assist with account management activities. Daily responsibilities include responding to phone and email requests, resolving issues, data entry, (order entry, invoicing) and collaborating with production and logistics to meet customer requirements. The role also contributes to customer retention initiatives by ensuring a positive customer experience and supporting continuous improvement of service processes.

Core requirements

• Order entry and ERP or accounting software: Entering sales orders, generating packing lists, creating invoices, and issuing credit memos in systems such as Sage50.

• Microsoft Excel: Sorting and filtering data, basic formulas (SUM, IF, VLOOKUP or XLOOKUP), and building simple reports such as open orders or backlog lists.

• Microsoft Outlook or other business email: Professional customer correspondence, managing a shared inbox, and keeping calendars and follow-ups organized.

• Microsoft Word: Creating and formatting quotes, letters, and standard customer documents.
\n
• Data entry accuracy: Entering PO numbers, part numbers, quantities, and pricing with a high degree of accuracy, and checking documents against each other before they go out.

Qualifications

• Customer Service and Customer Support skills to manage inquiries, resolve issues, and maintain strong B2B relationships.

• Experience in order processing, sales coordination, or inside sales in a manufacturing or industrial environment.
\n
• Customer Satisfaction and Customer Experience skills to ensure orders, communications, and solutions meet or exceed customer expectations.
\n
• Strong Communication skills, including clear verbal and written communication with customers, internal teams, and external partners.
\n
• Proficiency with office software and CRM or ERP systems; ability to learn new tools quickly.
\n
• Strong organizational skills, attention to detail, and the ability to manage multiple tasks and deadlines.
\n
• Collaborative mindset, professional demeanor, and commitment to non-discriminatory, inclusive customer and team interactions.

• High school diploma required; associate or bachelor’s degree in business, communications, or a related field is a plus.
