The Client is a U.S.-based law firm specializing in immigration and business law. The firm supports individuals and businesses through structured legal processes, documentation, and client coordination. The owner is seeking a long-term Virtual Assistant who can provide reliable administrative support and take initiative in day-to-day operations. This position focuses on organized client follow-ups, CRM management, document coordination, and supporting the owner and paralegals to ensure smooth workflow. The ideal candidate is proactive, detail-oriented, and comfortable managing communications through GoHighLevel while keeping everything organized and up to date.

Key Responsibilities:

• Manage incoming and outgoing calls and text messages through GoHighLevel
• Follow up with new leads and update CRM notes accurately
• Send engagement letters and client checklists as needed
• Keep client records organized and complete
• Provide regular updates to the owner regarding client activity
• Coordinate with paralegals for minor administrative tasks (e.g., sending FedEx labels, preparing checklists)
• Ensure no leads or tasks fall through the cracks
