About the Position

Women’s Employment Network is seeking a compassionate, dependable, and adaptable Program Specialist to support workshop delivery, participant engagement, community outreach, and day-to-day program operations.

This is a full-time, on-site position for someone who enjoys working directly with people and is comfortable learning new systems and technology. The Program Specialist will facilitate WEN-developed workshops, assist participants, support in-person and online programming, maintain accurate program records, communicate with community partners, and help programs run smoothly.

The person in this role does not need experience with every technology platform WEN uses. They must be willing to learn, open to coaching, comfortable practicing new skills, and able to apply what they learn consistently.

This position is best suited for someone who wants to become a dependable part of a mission-driven team and is interested in developing long-term skills in workforce development, facilitation, participant services, digital learning, and nonprofit program operations.

Essential Responsibilities

Workshop Delivery and Participant Support

• Facilitate and co-facilitate workshops using curriculum and materials developed by WEN.
• Deliver programming in person at WEN, through virtual learning platforms, and at community partner locations.
• Follow established lesson plans, facilitation guides, processes, and program expectations.
• Create a welcoming and respectful environment where participants feel comfortable asking questions and learning.
• Explain information clearly and patiently to participants with different levels of education, confidence, and technology experience.
• Help participants access workshop materials, online platforms, career tools, and digital resources.
• Assist with participant communications, reminders, follow-up, and resource distribution.
• Step in to support or lead programming when schedules or program needs change.
• Adapt communication and facilitation methods to meet participant needs while maintaining consistency in WEN programming.

Technology and Digital Learning

• Learn and use WEN’s technology systems, including Google Workspace, online learning platforms, virtual meeting tools, client management systems, and other program technology.
• Develop working knowledge of artificial intelligence and digital tools used in WEN workshops and participant services.
• Help participants use technology without making them feel rushed, embarrassed, or overwhelmed.
• Support virtual workshops and online learning, including participant access, presentation materials, technology setup, and basic troubleshooting.
• Follow established procedures for using technology, protecting participant information, and documenting services.
• Remain open to learning new systems as WEN’s programs and technology needs develop.
• Adjust to changes in technology, processes, and program delivery methods as the organization grows.

Program Operations and Documentation

• Track attendance, participation, participant engagement, outreach, and program activities.
• Enter and maintain accurate participant and program information in WEN’s client management, program tracking, and reporting systems.
• Support workshop scheduling, preparation, registration, materials, and follow-up.
• Maintain organized, accurate, and complete participant and program records.
• Assist with reports, documentation, communications, and special projects.
• Follow through on assigned work and communicate promptly when support or clarification is needed.
• Identify practical opportunities to improve program processes and participant experiences.
• Support program staff with administrative responsibilities related to scheduling, participant communication, resource distribution, and reporting.

Community Outreach and Partnerships

• Represent WEN professionally at community events, partner locations, and outreach activities.
• Help community organizations understand WEN’s services and referral process.
• Support relationships with social service agencies, community organizations, and referral partners.
• Assist with coordinating workshops and presentations at community partner sites.
• Deliver presentations about WEN programs and services to partner organizations and community groups.
• Connect participants with appropriate WEN services and available community resources.
• Support outreach activities that increase awareness of WEN programs and improve participant access.
• Assist with developing new community-based relationships that support WEN’s mission and program goals.

Team and Program Support

• Work closely with the Employment Specialist and other program staff to support participants and program goals.
• Share responsibilities and assist team members when program needs change.
• Support special projects and new initiatives that advance WEN’s strategic goals.
• Communicate clearly with supervisors and team members about progress, questions, concerns, and changing priorities.
• Accept coaching, feedback, and direction and apply it consistently.
• Help maintain a positive, respectful, and participant-centered work environment.

Required Qualifications

• Bachelor’s degree in human services, social services, nonprofit management, communications, education, workforce development, or a related field, or an equivalent combination of education and relevant experience.
• At least two years of experience in program support, participant services, education, community outreach, workforce development, social services, nonprofit work, or a related area.
• Experience facilitating, presenting, training, teaching, or supporting group learning.
• Strong interpersonal, written, and verbal communication skills.
• Ability to work respectfully with participants from a range of backgrounds and life circumstances.
• Basic proficiency with Google Workspace, including Docs, Sheets, Slides, Drive, Gmail, and Calendar.
• Comfort using virtual meeting and online learning platforms.
• Willingness and demonstrated ability to learn new software, artificial intelligence tools, databases, client management systems, and digital platforms.
• Strong organization, documentation, time management, and follow-through.
• Ability to work independently while remaining accountable to a supervisor and team.
• Ability to manage multiple priorities and adjust when program needs change.

Preferred Qualifications

• Experience in workforce development, adult education, social services, or nonprofit programming.
• Experience delivering both in-person and virtual workshops.
• Familiarity with a CRM, participant database, case management system, or program tracking platform.
• Experience working with community organizations or referral partners.
• Experience documenting participant services, attendance, outcomes, or program activities.

Work Environment and Schedule

This is a full-time, on-site position based in Kansas City, Missouri. Regular in-person attendance is an essential function of the role.

The Program Specialist will work primarily from WEN’s office and may also work at community partner locations. While some workshops and meetings may be delivered virtually, this is not a remote position.

The position includes facilitating workshops, working at a computer, communicating with participants and partners, maintaining program records, and occasionally traveling to local partner sites or community events.

Some evening or weekend availability may be required with advance notice.

The Program Specialist must be comfortable working in different environments and adjusting to the needs of participants, partners, and program schedules.
