General Statement of Job: The Community Relations Coordinator supports the City of Boca Raton’s Public Affairs Division by assisting with community engagement, public relations, outreach, internal communications, and public information efforts on behalf of the City. Under the direction of the Community Relations Manager, this position helps coordinate outreach initiatives, public meetings, community events, stakeholder communications, and special projects that strengthen communication between the City, residents, businesses, community organizations, and other key audiences. The Community Relations Coordinator assists with preparing public information materials, supporting media relations, coordinating event‑related communications, monitoring community feedback, and helping ensure City messaging is accurate, timely, accessible, and consistent. This position requires strong writing, organizational, interpersonal, and customer service skills, as well as the ability to manage multiple assignments in a fast‑paced municipal environment. Work is performed under general supervision, with some independent judgment and initiative required to carry out assignments and support Division priorities. This position reports to the Community Relations Manager and works closely with other team members in the Public Affairs Division, City departments, community partners, and the public. Under the supervision of the Community Relations Manager, this position is eligible for a hybrid remote work schedule. Position Duties Supports the Community Relations Manager with community engagement initiatives, public relations efforts, outreach strategies, internal communications, and special projects. Assists with planning, coordinating, and staffing public meetings, town halls, community forums, stakeholder briefings, outreach events, and City programs. Helps coordinate communication and outreach efforts with residents, businesses, neighborhood groups, civic organizations, community partners, City departments, and other stakeholders. Prepares, edits, and distributes public information materials, including press releases, talking points, newsletters, website content, social media content, presentations, correspondence, reports, and other written communications. Assists with media relations by helping gather information, prepare responses, coordinate interview logistics, draft statements, and support the release of accurate and timely information. Supports the development and implementation of communication plans for City initiatives, programs, services, events, campaigns, capital projects, public meetings, and community issues. Assists with event‑related communications, including promotional materials, public notices, scripts, signage, digital content, event logistics, and follow‑up communications. Monitors community feedback, media coverage, public sentiment, resident inquiries, and communication trends to support messaging, outreach strategies, and reporting. Responds to or routes public inquiries related to City programs, services, events, and initiatives in a professional, accurate, and timely manner. Helps maintain contact lists, outreach databases, project trackers, calendars, files, reports, and other records related to community relations activities. Coordinates with City departments to gather information, clarify details, and support consistent public‑facing communications. Assists with emergency and crisis communications, including the preparation and distribution of timely public information, as assigned. Supports budget, purchasing, vendor coordination, contracts, invoices, and project tracking related to assigned community relations activities. Represents the Communications and Marketing Division at meetings, events, and outreach activities as assigned. Serves as staff support for assigned committees, subcommittees, community groups, or special initiatives, including the Youth Subcommittee, as directed. Performs related duties as assigned. Minimum Qualifications Knowledge of: Principles, practices, and procedures of public information, community relations, public relations, marketing, communications, and community engagement. Local government organization, programs, services, procedures, and public sector communication practices. Public records requirements, including Freedom of Information Act/public records requests, recordkeeping standards, and the proper handling of public information.
