Overview:

The Receiving Coordinator is responsible for coordinating and supporting the inbound receiving process

for the warehouse. This position serves as a primary point of contact for customers, carriers, and

manufacturers regarding incoming product and assists with ensuring inbound shipments are properly

scheduled, documented, and entered into the company’s systems.

The Receiving Coordinator is responsible for maintaining accurate receiving information, coordinating

inbound appointments, communicating shipment details, and providing customers with appropriate

product and receiving documentation. This position works closely with the Logistics Coordinator and

warehouse team to ensure a smooth and organized receiving process.

Duties and Responsibilities:

• Schedule inbound delivery appointments with carriers and coordinate delivery dates and times

with the warehouse team.

• Communicate with carriers, customers, and manufacturers regarding inbound shipments and

receiving requirements.

• Review incoming packing lists and shipping documentation for completeness and accuracy.

• Contact manufacturers or vendors regarding questions or discrepancies identified on packing

lists or shipment documentation.

• Enter inbound receiving information accurately into the company’s integrated systems.

• Email receiving documentation, packing lists, and other applicable product documentation to

customers.

• Serve as a primary point of contact for customers regarding the status and receipt of their

product in the warehouse.

• Maintain accurate records of scheduled and received shipments.

• Communicate special receiving instructions or customer requirements to the appropriate

warehouse personnel.

• Assist with identifying and communicating receiving discrepancies to the Logistics Coordinator

or appropriate member of management.

• Follow established departmental policies, procedures, and objectives.

• Maintain organized electronic files and documentation related to inbound shipments.

• Assist the Logistics Coordinator and warehouse team with administrative and receiving-related

tasks as needed.

• Perform other related duties as assigned to support the ongoing needs of the warehouse and

organization.

• High school diploma or GED required.

• Previous experience in a warehouse, logistics, shipping/receiving, customer service, or

administrative environment preferred.

• Experience with data entry and maintaining accurate records preferred.

• Proficiency with Microsoft Office applications required.

• Experience with warehouse management or integrated software systems preferred.

Physical Demands:

Ability to communicate orally with customers, vendors, management, and coworkers is crucial. Regular

use of phone and email for communication is essential. Hearing and vision correctable to within normal

ranges are essential for normal conversations, receiving ordinary information, and preparing or

inspecting documents.

The ability to remain in a stationary position roughly 50% of the time, as well as the ability to move

about the office and warehouse occasionally (accessing files/storage, office equipment, computers and

other office productivity devices, attending meetings, etc.), is required. Using a computer while sitting

for extended periods is common.

Good manual dexterity required to use common office equipment (e.g., computers, mobile devices,

calculators, copiers, scanners).
