(Home-based work is available)The Senior Grant Administrator is a professional responsible for coordinating the strategic operational execution of a complex, multi-million-dollar, grant-funded department, serving as a key cross-functional liaison among program strategy, financial management, compliance, and organizational operations. Supports alignment between mission priorities and execution by translating programmatic goals into actionable budgets, systems, and processes that ensure efficiency, accountability, and impact. Responsible with staff to ensure timely completion of all grant deliverables, will monitor budgets to ensure appropriate and on-schedule grant spending, compliance monitoring, and facilitation of internal and external reports, and work with multiple teams across the organization. Serves as a key contributor to the strategic plan and end-to-end operations for a successful grant- making process. Responsibilities Integrates grant requirements into the program and monitors processes. Develops and maintains internal records and systems to support program management. Monitors budgets and spending, collaborates with financial management staff; responsible for all budget reporting, including forecasting and reporting on variances. Provides relevant analysis as needed.Coordinates program budget development and facilitation in collaboration with Mission Advancement, the Office of Funded Programs, and leadership teams, ensuring alignment with funder expectations and internal controls.Monitor budgets and expenditures, analyze financial activity (including procurement, contracts, and vendor invoices), and provide variance reporting, forecasting, and reconciliation guidance. Supports fiscal integrity and alignment with grant objectives.Coordinates work with key internal stakeholders within and across staff functions, including but not limited to finance, legal, operations, development, advocacy, and business technology. Ensures that activities function within the parameters of the American Heart Association policy.Develop and maintain internal systems, controls, and documentation to support audit readiness and effective program management.Act as the Voices technology coordinator, partnering with American Heart Association Business Technologies to optimize systems and tools supporting grantmaking and reporting.Build and maintain strong relationships with internal teams, external partners, and grantees to enable collaboration and high-quality outcomes.Lead or contribute to cross-functional initiatives and project teams requiring coordination, analysis, and change management.Contributes to operational planning for grant-making efforts through innovation and system enhancements that improve transparency, reduce burden, and strengthen overall grant-making effectiveness.Provide guidance, coaching, and oversight to team members and cross-functional partners; may serve in a team lead or player/coach capacity. Pay is commensurate with experience; geographic differentials to the pay range may apply.
