The Leave of Absence Coordinator assists with the administration of all Leave of Absence (LOA) programs for our Healthcare client in Rancho Mirage. This position provides responsive and caring customer service to employees and leaders, with a primary focus on leave administration and the return-to-work (RTW) process.
Responsibilities

• Assist employees with Leave of Absence (LOA) inquiries and provide guidance regarding federal and California leave laws and Eisenhower Health policies.
• Assist employees with California EDD State Disability Insurance (SDI) and Paid Family Leave (PFL) benefit programs.
• Respond to employee phone calls and emails, track leave utilization in the timekeeping system, and address leave-related questions.
• Run audit reports from Workday and contact employees within seven days of their anticipated return-to-work date.
• Enter LOA returns and extensions in Workday and provide employees with appropriate return-to-work follow-up.
• Track employees who have not responded regarding their return to work and coordinate with the LOA Specialist on appropriate follow-up.
• Run intermittent leave reports from the Matrix portal, confirm usage, and provide leave balances as requested.
• Partner with employees to confirm FMLA/CFRA eligibility and work with Matrix regarding applicable claim denials.
• Review Matrix daily reports and enter new leaves, extensions, cancellations, and other updates into the HR information system.
• Review daily reports and provide maternity/paternity benefit information to employees, including instructions for adding a new baby to medical benefits.
• Track employees whose leave requests have been denied by Matrix and coordinate next steps with the LOA Specialist, including claim packets and medical certification requirements.
• Assist with the development and maintenance of job aids, Standard Operating Procedures (SOPs), and other LOA communications.
• Provide medical release forms containing work restrictions to the LOA Specialist for Interactive Accommodation meetings.
• Attend bi-weekly Matrix meetings and present issues requiring resolution.
• Demonstrate compliance with Eisenhower Health's Code of Conduct and compliance policies and appropriately report suspected violations.
• Perform other duties as assigned.

Skills & Qualifications

• Knowledge of Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
• Familiarity with HR information systems; Workday experience is beneficial.
• Ability to learn and understand applicable HR systems and processes.
• Strong organizational and time-management skills with the ability to prioritize tasks and meet deadlines.
• Strong attention to detail.
• Ability to work independently as well as collaboratively within a team.
• Ability to appropriately handle confidential, sensitive, and personal information.

Education & Certification Required: Bachelor's degree
Preferred: HR certification Experience Required: Minimum of one year of Leave of Absence administration experience
Preferred: Healthcare experience
