Leasing & Property Operations Coordinator LHH Recruiting is seeking a highly organized and detail-oriented Leasing & Property Operations Coordinator to support a commercial real estate portfolio for our client on a contract to hire basis in Scottsdale, AZ. This role blends leasing coordination, tenant relations, administrative support, and project tracking. The ideal candidate thrives in a fast-paced environment, communicates effectively with tenants and vendors, and can manage multiple priorities across property operations and leasing initiatives. Key Responsibilities Tenant & Property Operations Support * Distribute management notices and communications to tenants in a timely manner * Coordinate HVAC and maintenance-related issues, including tracking, communication, and repair approvals * Communicate with tenants regarding repair timelines, cost approvals, and project updates * Obtain internal approvals before scheduling repairs or replacements * Review vendor reports and invoices related to exterior lighting and ensure all systems are functioning properly * Conduct bi-monthly property walks, complete vacancy checklists, and maintain proper documentation Leasing & Administrative Coordination * Maintain accurate and organized leasing documentation in shared file systems * Draft Letters of Intent (LOIs), lease amendments, and other leasing-related documents * Prepare proformas for prospective tenants * Assist in reviewing lease drafts, including redlines and tenant comments * Support leasing strategy efforts for individual suites and portfolio positioning * Participate in regular leasing calls with brokers and internal stakeholders * Handle escalated tenant/customer service concerns and assist in resolution * Support special leasing projects and initiatives as needed Tenant Improvements & Project Coordination * Track tenant improvement (TI) projects across the portfolio using tracking tools * Monitor project progress and follow up on outstanding tasks or delays * Maintain organized records of all TI-related documentation * Coordinate with property management to address TI items requiring involvement * Assist with gathering information for capital projects, including furniture, AV equipment, and common area enhancements * Facilitate transitions from construction completion to property management turnover * Lead or support construction update meetings * Assist with project closeout processes, including punch list completion and document collection * Support brokers in tracking overall project progress across the portfolio Qualifications * 3+ years of experience in property management, leasing coordination, or administrative/project support * Experience within commercial real estate strongly preferred * Strong organizational and document management skills * Ability to manage multiple projects and deadlines simultaneously * Excellent written and verbal communication skills * Proficiency with Microsoft Office (Word, Excel, Outlook); experience with property management or leasing software a plus * Detail-oriented with strong follow-through and problem-solving abilities Pay Details: $25.00 to $28.00 per hour Search managed by: Chris Collins Benefit offerings available for our associates include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits and a 401K plan.
