Estimating Coordinator
This role does not involve sales, business development, or revenue generation. It is strictly an administrative and coordination position supporting the Estimating Department.
Location: In-Person
Job Type: Full-Time
Compensation: Based on experience

We are looking for a highly organized, detail‑focused Estimating Coordinator to support our Estimating Department. This is not a sales, business development, or revenue‑growth role. It is a precision‑based administrative position responsible for managing bid documents, organizing information, and ensuring our estimators have exactly what they need - especially on bid day.

Core Responsibilities- Download, organize, and maintain all bid documents, drawings, specifications, and addenda
- Create and manage proposal folders and ensure all information is current
- Update the bid list and bid calendar daily
- Prepare client bid forms using estimator‑provided numbers
- Assist with prequalification forms and project‑specific documentation
- Contact cities, agencies, and subcontractors to gather required information
- Solicit subcontractor pricing and ensure participation from MBE/WMBE/DVBE firms
- Provide administrative support including document prep, copying, filing, and data entry
- Support estimators with basic quantity takeoffs or document review (training provided)
- Handle fast‑paced, time‑sensitive tasks on bid day with accuracy and composure
- Perform additional administrative duties as assigned
- Experience: 3–5 years in the construction industry preferred (General Contractor or Subcontractor experience ideal). Strong administrative or coordination background also considered.
- Skills & Qualities:
- Exceptional attention to detail - accuracy is critical
- Strong computer proficiency (Microsoft Office; comfort learning new software)
- Ability to manage multiple deadlines and stay organized
- Clear and professional communication skills
- Comfortable working under pressure, especially on bid days
- Self‑starter with a positive attitude and willingness to learn
- Familiarity with construction terminology helpful but not required
- Fast, accurate typing and strong document management skills
- Ability to work independently and as part of a team
