Administrative Assistant (Onsite up to $22/hour)

Job Description

We are seeking a highly organized and detail-oriented Administrative Assistant to join our client's team during their busy season this summer. This role is critical in ensuring smooth operations across order processing & tracking, customer & vendor management, and shipping assistance. Key Responsibilities:

• Receive and process customer orders accurately and promptly.

• Track order status from initiation to delivery, ensuring timely fulfillment.

• Monitor and record payments, reconcile invoices, and maintain accurate financial records.

• Follow up on outstanding payments and assist with resolving discrepancies.

• Set up new vendors in QuickBooks and maintain vendor profiles.

• Communicate with vendors regarding order details, timelines, and payment terms.

• Maintain organized records of orders, invoices, and vendor agreements.

• Assist with general office tasks and provide support to the operations team as needed.

Qualifications:

• Two or more years of proven experience in administrative or order management roles.

• Proficiency in QuickBooks and MS Office Suite (Excel, Word, Outlook).

• Strong attention to detail and ability to manage multiple tasks simultaneously.

• Excellent communication and problem-solving skills.

• Ability to work independently and as part of a team.

Pay: $19 to $22/hour

Hours: 10am to 4pm, Monday to Friday (Some flexibility on schedule)

Location: Wesley Chapel, FL 33543 (Onsite only)

Duration: Estimated for four to six months
