Job Duties
- Review invoices for accuracy, proper documentation, and approvals prior to processing payments.
- Match invoices with purchase orders and receiving documents and coordinate with purchasing to resolve discrepancies
- Print, obtain signatures for, and distribute accounts payable checks
- Prepare garnishment checks and process ACH postings within the ERP system
- Respond to vendor inquiries and maintain positive vendor relationships
- Maintain accounts payable reports, records, and electronic filing systems
- Compile and maintain W9 forms and support annual 1099 preparation and compliance reporting
- Assist the Controller and Owner with administrative and clerical tasks as needed
- Schedule ACH payments to ensure vendor discounts are met and payments are processed on time
- Order office supplies as needed and provide backup support for accounts receivable purchasing functions
- Perform general filing, recordkeeping, and additional duties as assigned
