Accounting Assistant

Curry Senior Center

JOB SUMMARY: This role is responsible for a variety of Accounting administrative and bookkeeping duties. This roles responsibilities include a wide range of support activities inside the Accounting Department. ESSENTIAL DUTIES AND RESPONSIBILITIES: Accounts Payable: Collect invoices, scan to PDF, save to drive. Prepare payment request(s). Enter payments into accounting system. Prepare checks, copy checks, and mail them out. Make ACH payments. Maintain vendor files, W-9s, and contracts. Monitor recurring payments. Credit Cards: Download credit card statements. Collect credit card receipts. Enter credit card transactions. Code credit card transactions. Payroll: Notify employees/managers of any errors and/or missing punches, meal breaks, etc. Follow up with employees and managers for submission and approval of timesheets. Review, process and verify timesheets to ensure completeness and compliance with company policies. Generate payroll reports. Complete payroll worksheet. Enter payroll journal entries into the GL. Maintain and update employee payroll files. Deposits: Save checks PDFs to drive. Enter deposit checks into accounting system. Deposit checks by remote machine or bank branch. 1099 Processing: Collect vendor W-9s. Run vendor transaction reports. Prepare and e-file 1099s. Email or mail recipient copies. Audit and Compliance: Pull supporting documents. Perform other duties as assigned. JOB REQUIREMENTS: Associates (AA) degree in accounting, required. A minimum of 2 years experience as a bookkeeper/ Accounting Assistant, required. QuickBooks, and advanced Excel experience required. UKG experience, preferred. KNOWLEDGE, SKILL, AND ABILITIES: Effective oral and written communications skills with the ability to express ideas in a clear, thorough, concise manner. Strong interpersonal, communication and organizational skills. Solid aptitude for customer service. High degree of skill in grammar, spelling and punctuation. Ability to maintain the confidentiality of all information obtained. Strong organizational skills and the ability to prioritize workflow. High level of analytical problem-solving skills. Excellent time management skills, including the ability to manage self-development. Must be action-oriented and have the ability to work independently and as a team player. Strong computer skills such as Chrome, Google suite, Apple iOS, Office suite. PHYSICAL REQUIREMENTS/DEMANDS: The incumbent is in a non-confined office-type setting in which they are free to move about at will. The Environment is mostly clean and comfortable but may include some minor annoyances such as noise, odors, drafts, etc. Work will be performed utilizing a computer, sitting at a desk/chair or standing while speaking and interacting with clients. Position will require average finger dexterity to operate normal office equipment and systems. Sitting: 80 % of the workday Standing: 20 % of the workday Walking: 20 % of the workday Bending: 5 % of the workday Twisting: 3 % of the workday Lifting: 5 % of the workday/Moderate, generally not over 10 pounds Carrying: 5 % of the workday/Moderate, generally not over 10 pounds Climbing: 3 % of the workday The incumbent must be able to perform this job safely, without endangering the health or safety of themselves or others.
