TradeWise Staffing is seeking a highly organized, service-oriented Onboarding & Field Support Specialist to assist candidates and field associates throughout the hiring, onboarding, placement, and employment process.

Spanish/English bilingual capability is strongly preferred.

Primary Responsibility – Candidate Onboarding

The primary focus of this position is to ensure candidates successfully complete the TradeWise onboarding process and are fully prepared for placement.

Responsibilities include:

• Contact candidates after they have been approved to move forward with employment.
• Guide candidates through the TradeWise onboarding process from initial approval through placement.
• Clearly explain onboarding requirements, deadlines, and project-specific expectations.
• Monitor candidate progress and follow up on incomplete onboarding items.
• Assist candidates who are having difficulty completing electronic paperwork or accessing onboarding systems.
• Ensure required employment documents are completed accurately and on time.
• Review candidate files for completeness prior to placement.
• Obtain and verify required identification and employment documentation.
• Assist with completion of I-9, W-4, direct-deposit, and other required employment forms.
• Obtain required licenses, certifications, and project-specific documents.
• Follow up regarding missing, incomplete, or expired documentation.
• Ensure all required documentation has been received before the candidate is released for dispatch.
• Work closely with Recruiting and Operations to ensure only fully compliant candidates are placed on assignments.

Depending on the project, required documentation may include OSHA certifications, MEWP/scissor-lift certifications, state electrical licenses, TDLR documentation, journeyman or apprentice licenses, NCCER certifications, client-specific safety certifications, identification, background-screening information, drug-screen documentation, and other project requirements.

Secondary Responsibility – Candidate Pre-Screening & Recruiting Support

The Onboarding & Field Support Specialist will assist TradeWise recruiters with the initial screening of candidates for open positions.

Responsibilities may include:

• Make outbound calls to candidates who have applied for TradeWise positions.
• Conduct initial telephone pre-screens using established TradeWise screening criteria.
• Confirm the candidate's trade and level of experience.
• Verify relevant work history.
• Confirm licenses, certifications, and credentials.
• Confirm current location and willingness to travel when applicable.
• Verify transportation and ability to report to the project.
• Confirm candidate availability and potential start date.
• Review pay expectations and ensure they are generally aligned with the open position.
• Confirm willingness and ability to work the required project schedule and overtime.
• Determine whether the candidate meets basic minimum requirements for the position.
• Document pre-screening information accurately in Avionté.
• Update candidate records and activities as required.
• Forward qualified candidates to the assigned recruiter for further review.
• Identify candidates who may be better suited for another TradeWise opportunity.
• Follow up with candidates when recruiters request additional information.
• Assist recruiters with candidate call campaigns during periods of high-volume hiring.

The specialist's role is to gather and document accurate information , not make the final hiring decision. Recruiters and TradeWise management will remain responsible for candidate selection, rate approval, and final placement decisions.

Documentation & Avionté

Accurate documentation is a critical responsibility of this position.

The specialist will:

• Maintain accurate candidate information in Avionté.
• Document candidate calls, screening conversations, and onboarding activity.
• Use appropriate activity types.
• Update candidate statuses as required.
• Upload and organize required documentation.
• Identify candidates who are ready for recruiter review or dispatch.
• Maintain accurate electronic candidate files.
• Notify Recruiting and Operations of missing or incomplete requirements.
• Follow TradeWise procedures regarding statuses, searches, tear sheets, activities, and documentation.

Field Associate Support

Once candidates begin their assignments, the specialist will also serve as a first level of support for routine field-associate questions.

The specialist may assist with:

• Paystub and employee-portal access.
• Password resets.
• Timesheet procedures.
• Clock-in and clock-out questions.
• Payroll schedules.
• Procedures for reporting missing time.
• Direct-deposit questions.
• W-4 change requests.
• Project reporting instructions.
• Dispatch information.
• Project addresses and arrival instructions.
• PPE questions.
• Certification questions.
• Benefits eligibility.
• General TradeWise policies and procedures.

Issues requiring approval or investigation should be documented and escalated to the appropriate member of Payroll, Recruiting, Operations, Safety, or management.

Qualifications

• High school diploma or equivalent required.
• Previous staffing, recruiting, onboarding, HR support, customer service, or administrative experience preferred.
• Construction or skilled-trades staffing experience is a plus.
• Strong telephone communication skills.
• Comfortable making a high volume of outbound and inbound calls.
• Strong organizational and follow-up skills.
• Excellent attention to detail.
• Ability to manage multiple candidates simultaneously.
• Strong computer and data-entry skills.
• Experience with applicant-tracking or HR systems preferred.
• Avionté experience is a plus.
• Ability to learn basic skilled-trades terminology and candidate qualifications.
• Ability to communicate professionally with candidates and field employees.
• English/Spanish bilingual capability strongly preferred.

Key Performance Expectations

Performance may be measured by:

• Percentage of candidates completing onboarding before their scheduled start date.
• Percentage of candidate files complete before placement.
• Accuracy of candidate documentation.
• Number of candidates arriving with missing documentation.
• Timeliness of candidate follow-up.
• Number of assigned candidate pre-screens completed.
• Accuracy and completeness of pre-screening notes.
• Percentage of candidates forwarded to recruiters who meet stated minimum qualifications.
• Response time to candidate and field-associate questions.
• Accuracy of Avionté activities and statuses.
• Reduction in administrative workload for recruiters and Operations.

Overall Purpose of the Position

This position is designed to provide additional support across the TradeWise recruiting and operations process.

The specialist should help move candidates through three stages:

Applicant → Qualified Candidate → Fully Onboarded Field Associate

Recruiters remain focused on finding, qualifying, and placing talent. Operations remains focused on dispatch, payroll, client support, and workforce management.

The Onboarding & Field Support Specialist helps connect the two by performing initial candidate screening, driving the onboarding process to completion, maintaining accurate documentation, and handling routine field-associate support.

Compensation for this position ranges from $22.00 to $25.00 per hour based on relevant experience, bilingual capability, staffing or onboarding experience, and overall qualifications.
