Job Title : Assistant to the Chief Operating Officer (COO) Location : Bronx, NY Employment Type : Full-Time Salary : $68,300 - $75,000 annually with Benefits About the Opportunity A well-established healthcare and senior care organization is seeking an experienced Assistant to the Chief Operating Officer (COO) to provide high-level administrative and operational support. This role is ideal for a detail-oriented professional who thrives in a fast-paced environment and enjoys working closely with executive leadership. The Assistant to the COO will play a critical role in ensuring the efficient day-to-day operation of the executive office by managing schedules, coordinating meetings and events, handling confidential information, and serving as a liaison between departments and external stakeholders. Key Responsibilities Manage and maintain the COO's calendar, meetings, and appointments. Coordinate logistics for meetings, conferences, events, site tours, and executive functions. Reconcile corporate credit card statements and maintain related records. Arrange travel accommodations, registrations, itineraries, and transportation. Prepare correspondence, reports, presentations, and other administrative documents. Maintain office records, administrative manuals, contact lists, and distribution groups. Screen incoming calls and messages and prioritize communications for the COO. Assist with personnel-related administrative matters while maintaining confidentiality. Respond to and route inquiries from residents, families, staff, vendors, and other stakeholders. Serve as a liaison between executive leadership, departments, consultants, and external partners. Support special projects and other executive office initiatives as assigned. Qualifications Bachelor's degree preferred. Minimum of 5 years of Executive Assistant or Administrative Assistant experience. Prior experience supporting senior leadership in healthcare, senior living, or corporate environments preferred. Strong organizational, multitasking, and time-management skills. Excellent written and verbal communication abilities. Advanced proficiency with Microsoft Office Suite, including Excel, PowerPoint, Outlook, and Teams. Experience with payroll and timekeeping systems is a plus. Ability to handle sensitive and confidential information with professionalism and discretion. Strong interpersonal skills with the ability to interact effectively with diverse stakeholders.
