Executive Assistant – Board of Directors & Executive Leadership

Location: Gardena, CA (On‑Site)

We are seeking a highly professional and detail‑oriented Executive Assistant to provide dedicated support to the Board of Directors and Executive Leadership team. This on‑site role requires a polished communicator who excels at coordinating high‑visibility meetings, managing logistics for in‑person and virtual engagements, capturing accurate meeting notes, and supporting executive‑level events.

Key Responsibilities

  • Provide direct administrative support to Executive Leadership and the Board of Directors
  • Coordinate and manage in‑person and virtual Board and Executive meetings, including scheduling, agendas, materials, room setup, and technology support
  • Attend meetings to take detailed, accurate notes and distribute meeting minutes and follow‑up action items
  • Prepare and proofread executive correspondence, presentations, and confidential documents
  • Serve as a key liaison between executives, Board members, and internal/external stakeholders
  • Plan and execute executive and Board‑related events, including on‑site meetings, off‑sites, and company functions
  • Coordinate catering, vendors, travel arrangements, and event logistics as needed
  • Maintain strict confidentiality and discretion with sensitive information
  • Support additional administrative and operational needs as required

Qualifications

  • 5+ years of experience as an Executive Assistant supporting senior leadership and/or Boards of Directors
  • Demonstrated experience managing high‑level meetings, taking professional meeting minutes, and handling executive communications
  • Strong event planning and on‑site coordination experience
  • Excellent organizational, time management, and multitasking skills
  • High attention to detail with the ability to prioritize in a fast‑paced environment
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms (Teams, Zoom, WebEx)
  • Professional demeanor with strong written and verbal communication skills

Work Environment

  • Fully on‑site role based in Gardena, CA
  • Standard business hours with flexibility to support Board and Executive schedules as needed

Compensation: $37 to $40 per hour

Benefit offerings: include medical, dental, vision, additional voluntary benefits, 401K plan. Our program provides employees the flexibility to choose the type of coverage that meets their individual needs. Available paid leave may include Paid Sick Leave, where required by law; any other paid leave required by Federal, State, or local law; and Holiday pay upon meeting eligibility criteria.
