Accounting SpecialistThe Accounting Specialist is a multi-faceted role that is highly interactive within the accounting department. The Accounting Specialist will perform a core role of responsibilities but will be cross trained in multiple disciplines to provide additional added value to the accounting team. The Accounting Specialist will work with multiple teams regularly to achieve daily, weekly, and monthly goals as defined by the team, leaders, and business. It is expected that the Accounting Specialist operate as a shared resource amongst multiple teams and divisions as a standard practice. The Accounting Specialist will receive direction from multiple leaders within the organization on a regular basis. It is critical that the Accounting Specialist has an innate ability to be highly functional within multiple teams simultaneously.Core role concentration(s) include, but are not limited to:Accounts Receivable:Process, review and audit AR invoices and supporting correspondence to ensure accuracy in QuickBooksResearch and resolve all inquiries regarding accounts receivableHandle and manage collections and AR aging reportEnter all client payments and deposits in QuickBooks (checks, ACH, credit card, 3rd party payments)Maintain and manage client files in QuickBooks and Client FoldersAssist and support with miscellaneous ad-hoc projects/requestsBackup phone coverageAccounts Payable:Process, review and audit AP invoices and supporting correspondence to ensure accuracy in QuickBooks and TMW systemResearch and resolve all inquiries regarding accounts payableEnter and manage receipts for 60+ company credit cardsMaintain and manage vendor files in QuickBooksAssist and support with miscellaneous ad-hoc projects/requestsBackup phone coverageAdministrative Tasks:Answer and manage incoming phone calls and front desk trafficProcess, review and audit AR invoices and supporting correspondence to ensure accuracy for mailing and emailing clientsEnsure tasks and assignments are executed and meet all company requirements while ensuring client defined service levels are maintained and regularly exceeded.Assist and support with miscellaneous ad-hoc projects/requestsPurchase Order:Process and manage client and 3rd party purchase orders for AR invoicesFollow each 3rd party vendors procedures to open, update and close invoices for the timely submission of paymentResearch and resolve all inquiries relating to client and 3rd party purchase ordersMaintain and manage 3rd party and client purchase orders in all systemsEnsure tasks and assignments are executed and meet all company requirements while ensuring client and 3rd party defined service levels are maintained and regularly exceeded.Assist and support with miscellaneous ad-hoc projects/requestsBackup phone coverageThese essential functions can be changed with or without notice at the discretion of management based on business needs / demands.Qualifications & Requirements:Familiarity within the transportation, logistics and/or maintenance fieldsAbility to articulate and manage multiple assignmentsAble to prioritize quickly changing requirements regularlyAbility to work a variety of tasks simultaneously to ensure all requirements are completed in a timely mannerAbility to present to large groups in a confident mannerMust be aligned with company Core Values:· Be Professional – Safe, Compliant, Reliable Behavior, Trained, Equipped, Certified Technicians, Clean, Organized and Impressive People & Equipment· Do The Right Thing – Honesty, Integrity, Trustworthy: We tell the truth, We act in truth, We do what we say· Be Driven – Hardworking, Ambitious, Growth Minded: We get the job done, We're hungry for opportunity, We elevate and improve· Compete to win..Together – We compete to be the best at what we do (Mobile On-Site Fleet Maintenance); Competition is fun, it challenges us and makes us better, and we want to win as a teamRequires the following skills:Advanced skills with computer applications (Microsoft Word, Outlook, Excel, etc.)Must be able to multi-task while ensuring follow up and execution of required tasksHigh degree of organization and ability to work effectively in a fast-paced environmentMust be a high energy individual with a strong work ethic and desire to succeedNOTE: ANY OFFER OF EMPLOYMENT BY MANAGED MOBILE, INC.
