PURCHASING SPECIALIST

Overview Agency: Business and Professional Regulation. Working Title: PURCHASING SPECIALIST - 79000242. Division: Division of Technology – Director’s Office. Position Number: 79000242. Responsibilities Provide high‑level professional administrative support for the Division of Technology by conducting research, preparing reports, handling information requests, and assisting with program management. Perform administrative and clerical functions (preparing correspondence, receiving visitors, arranging meetings) and manage fiscal, purchasing, and property control activities. Assist in daily administrative tasks and provide operational support to the Division’s Director’s Office and units within the division. Manage office tasks such as printing, filing, binding, and scheduling; act as Receptionist and route calls to appropriate personnel; manage inbound/outbound mail and shipping. Oversee purchasing of technology items, office supplies, and telecommunications equipment using a Purchasing Card (P‑Card) and/or MFMP eProcurement, in accordance with Department policies and State purchasing rules. Collect and reconcile P‑Card transactions in WORKS and related invoices for approval and payment processing; maintain detailed records and spreadsheets. Prepare and process Requests for Quotes for commodities and contractual services from State Contract vendors in accordance with State Contract provisions. Monitor and manage IT purchasing queue tickets, update with detailed notes, and resolve tickets when completed. Assist with receiving and coordinating Department mobile devices, tablets, and IT assets. Act as Fleet Manager for the division, update vehicle policies for Director approval, ensure monthly reports are accurate, and maintain the Division’s vehicle inventory in the DAS Fleet database. Prepare vehicle-related reports and manage fuel/maintenance cards and vehicle acquisitions as needed. Coordinate license plates and titles with the Florida Department of Motor Vehicles as needed and communicate vehicle activities with the SunPass account manager. Reconcile vehicle card charges with logs and investigate discrepancies; ensure receipts are accurate. Perform related work as required. Knowledge, Skills & Abilities Knowledge of office procedures and practices. Knowledge of Microsoft Office Suite. Ability to work independently with minimal supervision and to plan, organize, and coordinate work assignments. Exhibits initiative, integrity, and the ability to handle confidential information. Ability to collect, evaluate, and analyze data related to administrative functions such as accounting, personnel, and purchasing. Ability to understand and apply rules, regulations, policies, and procedures. Four (4) years of administrative or clerical experience in a professional office environment; two (2) years of experience using Microsoft Word, Excel, and Outlook; and a valid driver license. Preference will be given to applicants with MFMP and/or WORKS experience. Benefits and Additional Information State retirement: employee contribution 3%.
