Job Summary
We are seeking a detail-oriented and organized Sales Support and Customer Service Coordinator to partner closely with our Sales team. In this role, you will manage sample inventory and fulfillment, process and review sales orders, maintain accurate product documentation, and coordinate seamlessly across internal departments and external vendors.
Key Responsibilities
· Sample & Trunk Management: Pack, unpack, and verify contents for customer presentation trunks. Pull, photograph, tag, and prepare samples, ADs, PPs, TOPs, and swatches for shipment. Create FedEx shipping labels, track shipments, and coordinate warehouse sample requests.
· Order Processing & Costing: Accurately create, print, and distribute Sales Orders (SOs). Review EDI and paper purchase orders for completeness and communicate any discrepancies. Gather and calculate product costs for costing projects and customer quotes.
· Product Documentation & Data Management: Create, update, and maintain weekly selling sheets, customer attributes, and eCommerce content sheets. Photograph and upload Top of Production (TOP) samples, swatches, and VAAN documents to the shared drive.
· Vendor & Item Setup: Establish new item records, enter product information, and ensure compliance with all customer and vendor requirements.
· Cross-Functional Communication: Act as a central communication link between customers, the sales team, production, shipping, compliance, vendors, and warehouse personnel regarding order statuses, shipping updates, and product inquiries.
Qualifications
· Proven experience in sales support, customer service, or administrative coordination within a wholesale, manufacturing, or apparel environment.
· Exceptional organizational skills with a strong eye for detail and data accuracy.
· Proficiency in handling shipping logistics (FedEx) and order management systems (EDI, inventory sheets).
· Strong communication skills and the ability to manage multiple priorities in a fast-paced environment.
