Practice Coordinator

Job Summary The Medical Office Receptionist is responsible for managing the front office daily activities for their practice location, ensuring quality customer service to in‑person and remote patients and clinicians. Compensation $19.00‑$20.00 per hour, plus quarterly bonus/incentive potential. Location 1010 Lake Street, Suite 110; Oak Park, IL 60301. Prepare schedules for all patients ensuring all paperwork, documentation, credit card, demographics, and chart are complete. Maintain general office cleanliness and appearance, manage office mail, scanning, e‑faxes, shared office email, and office upkeep. Communicate with peers, clinicians, and patients to support patient care and clinician satisfaction. Provide exceptional customer service to patients, addressing urgent requests and triaging issues. Manage front desk activities: greeting, checking patients in/out, handling calls, emails, portal requests, payment/billing inquiries, scheduling, release requests, and miscellaneous inquiries. Handle telehealth access, Patient Portal issues, and other troubleshooting. Collect all in‑person and telehealth co‑payments and account balances. Complete insurance eligibility verification and resolve issues with patients. Provide general clinician support (administrative questions, letters, faxes). Coordinate with clinicians regarding patient questions and audit appointment schedules for accuracy. Required Skills and Abilities Ability to multitask and prioritize duties to support a high‑quality patient experience. Ability to work independently and as part of a team. Strong written and verbal communication skills. Proficiency with computer software applications (Microsoft Office & EMRs). Comfortable handling of sensitive and confidential information (HIPAA). Education and Experience High school or equivalent required; associate’s or bachelor’s degree preferred. 1+ year of experience in healthcare operations, customer service, or a similar role preferred. Physical Requirements This position requires regular sitting, standing, bending, talking, hearing, walking, and ability to lift or move objects up to 25 pounds.
