Position Summary

The Facilities Coordinator is responsible for supporting the day-to-day operation and maintenance of our manufacturing facility, production equipment, warehouse, and office environment. This role coordinates preventive and corrective maintenance, manages vendor relationships, supports workplace safety initiatives, and helps ensure the facility operates efficiently with minimal disruption to production.

Working closely with Operations, Process Engineering, Quality & Compliance, and Supply Chain, the Facilities Coordinator serves as a key resource in maintaining a safe, organized, and productive workplace.

Key Responsibilities

• Coordinate preventive and corrective maintenance for production equipment and building systems.
• Serve as the primary point of contact for day-to-day facilities and equipment maintenance issues.
• Coordinate contractors and service providers for electrical, plumbing, HVAC, janitorial, landscaping, waste management, equipment repair, and other facility services.
• Perform routine facility inspections to identify maintenance needs and potential safety concerns.
• Maintain accurate maintenance records, service schedules, and inspection documentation.
• Support workplace safety initiatives and assist with OSHA and general workplace compliance activities.
• Monitor maintenance expenditures and identify opportunities for cost savings.
• Partner with Workplace Operations to support office functionality, employee experience, and visitor readiness.
• Manage maintenance inventory, tools, supplies, and spare parts.
• Maintain emergency response plans, evacuation procedures, and business continuity documentation.
• Support environmental health and safety activities, including hazardous and electronic waste coordination.
• Administer facility access systems and coordinate employee access requests.
• Assist with contractor scheduling, punch-list management, and facility buildout coordination.
• Coordinate maintenance scheduling for production equipment in partnership with Process Engineering.

Required Qualifications

• 2+ years of facilities coordination, maintenance, or operations experience , including hands-on equipment maintenance.
• Experience working with contractors, equipment vendors, and property managers.
• Working knowledge of commercial building systems (electrical, plumbing, fire/life safety) and production equipment upkeep; ability to triage issues accurately and engage the right vendor or contractor when needed.
• Experience coordinating vendors and contractors: scheduling, tracking work, and following up on quality and timelines.
• Sound safety orientation; familiarity with general workplace safety practices , including environments with powered equipment.
• Ability to perform hands-on maintenance and basic repairs independently —on both building systems and production equipment—and recognize when a licensed contractor or specialist is required.
• Strong organizational skills with the ability to manage multiple work orders, preventive maintenance schedules, vendor schedules, and competing priorities simultaneously.
• Strong communication skills and a proactive reporting style , with the ability to work independently while keeping leadership informed.

Preferred Qualifications

• Experience in a startup or technology environment where facilities contribute significantly to workplace culture and presentation.
• Exposure to office buildout or tenant improvement projects (supporting, not necessarily leading).
• Familiarity with access control systems and user administration.
• Background maintaining electronics, lighting, or similar light-industrial manufacturing equipment.
• Established relationships with Bay Area vendors and contractors for electrical, mechanical, equipment repair, or janitorial services.

Work Environment

This position is based within a manufacturing, warehouse, and office environment and requires regular movement throughout the facility.

The employee may occasionally be required to:

• Stand, walk, bend, and climb for extended periods.
• Lift and move tools, equipment, and materials consistent with facility maintenance activities.
• Operate hand and power tools safely.
• Work around production equipment while following established safety procedures.
• Use computers and maintenance management systems throughout the workday.
