Position Overview The Public Records & Records Management Analyst serves as the Agency’s primary resource for public records requests and records management. This role is responsible for scheduling and coordinating manual and electronic forms and records services, including files consulting, records retention scheduling, essential records scheduling, and related activities. The position ensures compliance with state laws, agency standards, and best practices for transparency, accessibility, and information governance. Public Records Requests Serve as the Agency’s primary point of contact for all public records requests. Assist requestors in defining the scope of requested records and provide guidance throughout the process. Work with staff to identify records responsive to requests. Review records and redact information exempt from disclosure in accordance with legal requirements. Provide responsive records to requestors and maintain documentation related to each request following retention requirements. Review and process public records requests efficiently and consistently. Assist in developing public disclosure guidelines, procedures, and staff training. Records Management Review records retention and essential records schedules to ensure compliance with legal requirements and state/agency standards. Manage manual and electronic systems for records retention, disposition, transfer, and storage. Design and develop electronic forms, including layout, screens, and required data elements. Analyze workflows and processes to determine automation opportunities and audit requirements. Maintain forms repositories and associated web links as needed. Provide consultation and determinations for discovery records requests and union records requests. Conduct records management workshops and assist in developing instructional materials. Review and analyze potential applications of electronic, automated, micrographics, and imaging technologies. Assist in feasibility assessments for converting information to alternative formats. Desirable Qualifications A bachelor's degree in business administration, public administration, accounting, legal studies, or a related field and two years of experience in forms management, records management and/or public records; OR a combination of related education and relevant experience.
