Summary
We are seeking a detail-oriented Medical Affairs Contract Specialist to support the end-to-end contracting process for Medical Affairs and key cross-functional partners. In this role, you will coordinate contract requests, facilitate reviews and approvals, maintain accurate contract documentation, and help ensure agreements are processed efficiently and in compliance with corporate policies and regulatory requirements.
The ideal candidate has experience with contract operations, legal or procurement support, or administrative operations within a pharmaceutical, biotech, or other regulated environment. This role requires strong organizational skills, attention to detail, excellent communication, and the ability to manage multiple high-priority workflows while working closely with Legal, Procurement, Finance, Compliance, Medical Affairs, and external partners.
What You'll Do
• Coordinate the full lifecycle of Medical Affairs contracts, ensuring timely processing, accuracy, and adherence to legal and compliance requirements
• Serve as the operational point of contact for Medical Affairs contracting workflows, including intake, submissions, routing, approvals, execution, and closeout
• Partner with Medical Affairs, Legal, Procurement, Finance, and Compliance teams to secure required approvals and ensure alignment with corporate policies
• Coordinate contract intake and triage by gathering requirements, clarifying business needs, and helping stakeholders determine appropriate contract types and processes
• Support a variety of Medical Affairs agreements, including consulting and fee-for-service agreements, Master Service Agreements (MSAs), confidentiality agreements, research agreements, advisory and speaker agreements, and event/service contracts
• Review contract terms, scopes of work, deliverables, and financial details to ensure information is complete and accurate prior to submission
• Maintain contract records, documentation, workflow trackers, and other systems to provide visibility into agreement status and support audit readiness
• Monitor contract milestones, approvals, and execution timelines while proactively communicating status updates and potential delays
• Support Medical Affairs leaders with contract planning, forecasting, and prioritization based on business needs
• Maintain templates and process documentation in partnership with Legal and other cross-functional stakeholders
• Prepare status reports, dashboards, and contract cycle-time or operational metrics for leadership and business partners
• Identify opportunities to improve contracting workflows, documentation standards, user experience, and overall process efficiency
• Ensure all interactions with internal stakeholders, external partners, and functional leadership are handled with a high level of professionalism and discretion
What You Bring
• Bachelor's degree with 2+ years of relevant experience in contract management, legal operations, procurement, administrative operations, or a related function within pharmaceutical, biotech, or another regulated industry
• Master's degree with relevant experience, or equivalent experience in contract operations, legal support, or a related function
• Experience supporting Medical Affairs organizations is strongly preferred
• Working knowledge of contract types commonly used within Medical Affairs, including consulting, fee-for-service, confidentiality, MSA, research, and event/service agreements
• Experience partnering with Legal, Compliance, Finance, Procurement, or other cross-functional teams to support contract execution
• Familiarity with contract lifecycle management (CLM) systems, document management platforms, workflow trackers, and routing tools
• Ability to review and interpret contract language, identify potential issues or missing information, and communicate required revisions or clarifications to stakeholders
• Strong organizational and project coordination skills with the ability to manage high-volume, time-sensitive workflows and competing priorities
• Strong analytical skills and ability to interpret process metrics and operational KPIs
• Exceptional written and verbal communication skills with a polished, professional approach
• Proficiency with Microsoft Office, including Excel, Word, PowerPoint, and Outlook
• Ability to work independently, exercise sound judgment, and appropriately escalate issues when needed
• Exceptional attention to detail and commitment to accuracy, documentation, and compliance
• Collaborative, customer-service-oriented approach with a focus on finding practical solutions

• Direct experience supporting Medical Affairs contracting within a pharmaceutical or biotechnology organization
• Experience with contract lifecycle management systems or procurement platforms
• Experience supporting regulated business processes, audit readiness, or compliance initiatives
• Experience creating contract dashboards, reports, or workflow analytics
• Familiarity with consulting, advisory board, speaker, research, or clinical service agreements
