Entry-Level Administrator & Bookkeeping Paraprofessional

Position Summary

We are seeking a detail-oriented and organized Entry-Level Administrator & Bookkeeping Paraprofessional to join our growing team. This position provides administrative support while assisting with bookkeeping functions. The ideal candidate is dependable, eager to learn, comfortable working with numbers, and committed to providing excellent service to both clients and team members.

This role is an excellent opportunity for recent graduates, individuals beginning a career in accounting or business administration, or professionals looking to gain hands-on experience in bookkeeping and office operations.

Responsibilities

Administrative Duties

• Answer and direct incoming phone calls and emails.
• Greet and assist clients and visitors.
• Schedule appointments and maintain calendars.
• Prepare, organize, and maintain electronic and paper files.
• Process incoming and outgoing mail.
• Assist with data entry and document management.
• Draft correspondence, reports, and other business documents.
• Support office projects and administrative tasks as assigned.

Bookkeeping Support Duties

• Enter financial transactions into QuickBooks Online software.
• Reconcile bank and credit card statements.
• Organize and maintain financial records and supporting documentation.
• Assist with payroll processing and payroll record maintenance.
• Prepare reports for management review.
• Support month-end and year-end bookkeeping procedures.
• Assist accounting staff with client bookkeeping projects and special assignments.

Qualifications

Required

• High school diploma or equivalent.
• Strong organizational and time-management skills.
• Excellent verbal and written communication abilities.
• Proficiency with Microsoft Office (Excel, Word, Outlook).
• Strong attention to detail and accuracy.
• Ability to handle confidential information professionally.
• Ability to prioritize tasks and work independently.
• Experience with CRM software.

Preferred

• Associate's or Bachelor's degree in Accounting, Business Administration, Finance, or related field.
• Previous office, customer service, or administrative experience.
• Familiarity with QuickBooks or other accounting software.
• Basic understanding of bookkeeping principles.

Work Schedule

• Full-time
• Monday–Friday 8am - 5pm (1 hour lunch daily)
