We are seeking a detail-oriented Accounts Payable Assistant to provide data entry and administrative support. This role is responsible for managing the APPO inbox, processing vendor invoices, and supporting daily departmental operations. The ideal candidate will demonstrate strong organizational skills, accuracy in data entry, and excellent customer service abilities in a fast-paced environment.

Major Duties

Invoicing & Data Entry

• Monitor the Accounts Payable inbox for incoming vendor invoices and correspondence.
• Perform high-volume data entry and vendor invoice processing with speed and accuracy.
• Accurately enter invoice and payment data into the accounts payable system/database.
• Verify invoice information for completeness and accuracy.
• Maintain organized electronic records and documentation.

Administrative Support

• Provide backup support for digital mail processing and interoffice mail distribution.
• Assist with coverage for the department phone line and general office support tasks.
• Support departmental workflows and ensure timely handling of administrative requests.

Customer Service & Communication

• Serve as a point of contact for internal departments and external vendors.
• Respond to inquiries regarding invoice status, payments, and account discrepancies.
• Research payment history and assist in resolving payment-related issues professionally and promptly.

What are we looking for?

• Strong attention to detail and accuracy in data processing.
• Strong proficiency in Microsoft Office Suite, including Word, Excel, and Access.
• Ability to manage multiple tasks and meet deadlines in a high-volume environment.
• Strong written and verbal communication skills.
• Professional and customer-service-oriented demeanor.
• Previous experience in accounts payable, bookkeeping, or related financial/administrative support functions preferred.

Exciting Opportunity Details

• Rate: $ 25.50 per hour
• Length of Engagement: 8-12 Weeks
• Days/Hours: Monday-Friday, 8:00 AM to 5:00 PM (40 hours)
