Office Administrator

Benefits Employee discounts Flexible schedule Paid time off Job Description Office Administrator / Purchase Order Manager/ Accounts Receivable /Accounts Payable / Website development. Skandinavia Contemporary Interiors is seeking an individual with experience in general office procedures, including generation, tracking, and receiving purchase orders, as well as proficiency with Canva and website maintenance. The position is split 50/50 between office procedures and website maintenance/development. The selected candidate will play a critical role in ensuring the organization runs efficiently and that our web presence remains current and engaging. Key attributes for success include strong computer literacy, exceptional communication skills, reliability, and the ability to thrive in a busy, multi‑department environment while upholding confidentiality and professionalism. Responsibilities Purchase Order Processing – generates, prices, tracks, and receives purchase orders, with a heavy emphasis on pricing flow, tracking, and proactive follow‑up with vendors and the sales/design team. Accounts Receivable (AR) – receipt, organization, and filing of customer payments; data entry into the accounting system; reconciliation of discrepancies; collections; bank runs; aging AR metrics; audit confirmations; and related tasks. Website Maintenance – updates and maintains the company website, using Canva to size images for aesthetic fit and continually expanding and updating site content. Shopify Management – uploads new products and updates existing products per established standards of practice. Use Canva, Adobe, image compressors, and other software for image editing and creating spec sheets for products. Generate and format product descriptions with ChatGPT, revising AI‑generated passages for accuracy and brand voice. Independently problem‑solve and develop efficient workflows using available information and software. Skills Needed – Microsoft Excel/Google Sheets literacy, strong organizational abilities, self‑starter mindset, critical thinking, familiarity with generative AI and language learning models, and accurate data entry. Required Skills Self‑managed, organized, good phone and email communication. Proficient understanding of full‑cycle accounting. Creativity and latitude in work. Excellent follow‑up skills. Hands‑on, detail‑oriented attitude in a fast‑paced, rapidly growing company. Desired Experience and Education Associate’s degree or equivalent. Advanced Microsoft Office skills and Canva proficiency. Compensation Hourly rate: $20.00 plus a 9‑5:30 work schedule, vacation, and a positive, casual work environment.
