This is a high-visibility, relationship-forward role that requires professionalism, warmth, and exceptional organizational instincts. You will support multiple advisors operating from the Asheville office, serve as a key operational anchor for the space, and provide administrative and communications support to our Executive Assistant and Marketing Director.The Office Receptionist reports to and is employed by Trailhead Financial Group.Travel & Secondary Location: Complete a mandatory 6-week in-person training program at the Hendersonville, NC office prior to full deployment . Hendersonville office serves as an ongoing secondary work location, but will work out of both Ashville and Hendersonville locations. Occasional travel may be required to support executive operations, attend conferences, or participate in firm-sponsored eventsCompensation for this role is $18-22/hr dependent upon experience. No medical or dental benefits.Job DescriptionPosition Roles/Responsibilities/AccountabilitiesClient & Guest ServicesServe as the primary point of welcome for all clients and visitors to the Asheville officeGreet and direct clients for multiple advisors in a professional, warm mannerRepresent Trailhead Financial Group as one of the recognizable faces of the organization at events and in the officeOffice OperationsManage daily opening and closing procedures for the Asheville officeMaintain the overall appearance, organization, and readiness of the shared office spaceMonitor advisor schedules and calendars — proactively flag conflicts, gaps, or scheduling concerns to leadership (scheduling decisions remain with the advisor team)Communications & Administrative SupportAnswer and professionally route all inbound callsMake outbound calls as directed by the advisor team or executive assistantReceive, sort, and distribute incoming mailScan and digitally file documents with accuracy and attention to detailDraft, format, and send emails on behalf of the team as requestedExecutive & Marketing SupportSupport Executive Assistant with administrative tasks and serve as coverage during her absenceAssist Marketing Director with social media posting and content coordination as neededRepresent TFG at select company events and client-facing functionsPosition QualificationsExceptional interpersonal and communication skills — both written and verbalProfessional, polished appearance and demeanor consistent with a client-facing financial services environmentStrong organizational skills with the ability to manage multiple priorities simultaneouslyProficiency with Microsoft Office Suite (Outlook, Word, Excel) and general comfort with technologyReliable, punctual, and detail-oriented with a proactive approach to problem-solvingPrior experience in a receptionist, front-desk, or administrative support roleFamiliarity with financial services, wealth management, or professional services environments (preferred)Experience with calendar management tools and CRM platforms (preferred)Social media literacy (LinkedIn, Facebook, Instagram) for light content posting support (preffred)Notary Public preferred (or willing to obtain in first 90-days of employment)CompetenciesPlanning/OrganizingCustomer FocusCommunicationInterpersonal SkillsTeamwork and CollaborationAdaptability/FlexibilityExternal/Internal DependenciesMust be able to work with all roles of the TFGMust be able to represent the organization in work with external clientsMust be able to cultivate and maintain relationships with outside organizationsAs part of TFG's recruiting/hiring/contracting process, a verification of a candidate's background will be made to complete the hiring/contracting process.
