Job Description: Are you looking for a flexible, part-time opportunity that offers 16 to 20 hours per week? We are seeking an Administrative Assistant who is dependable, professional, and a strong team player. In this role, you will provide administrative support to help ensure the smooth day-to-day operation of the office.
Responsibilities :
• Answer incoming phone calls for all company locations.
• Handle incoming and outgoing mail.
• Prepare FedEx and UPS packages for pickup and delivery.
• Order office supplies through vendors such as WB Mason and Staples.
• Provide administrative support to internal staff and clients on various operational matters.
• Copy, proofread, compile, scan, edit, and print materials to support the Engineering and Finance teams.
• Utilize company databases to support marketing initiatives and perform data entry.
• Maintain and update a database of stored case evidence.
• Coordinate the regular inspection and calibration of equipment and tools.
• Process and document expense receipts.
• Assist with general daily office operations and administrative needs.
• Support regional sales and marketing activities, including client database management, conference scheduling and planning, event coordination, follow-up communications, and regional marketing campaigns.
Additional Required Qualifications:
• A professional or college student earning a college degree. We welcome applications from experienced administrative professionals as well as motivated college students pursuing a degree and seeking valuable professional experience.
• Professional phone etiquette and strong verbal communication skills.
• Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, and OneNote.
• Experience using standard office equipment, including printers, copiers, scanners, and shredders. • Comfortable learning and adapting to new technologies and software applications.
• Strong time management skills with the ability to meet deadlines and prioritize multiple tasks.
• Ability to take initiative and follow assignments through to completion.
• Able to proactively identify solutions to problems encountered.
• Able to effectively handle sensitive and confidential information.
• Ability to take direction as well as learn from constructive feedback.
• Strong work ethic, sense of accountability.
• Previous administrative experience of 3 to 5 years is preferred
The ideal candidate is reliable, personable, detail-oriented, and works well as part of a team. This is a part-time, hourly position with a pay rate of $20.00 to $22.00 per hour. There is potential for the successful candidate to transition from a temporary role to a permanent position.
