Staffing Coordinator

Maintain accurate and update scheduling software and time keeping systems.

Serve as the point of contact for scheduling-related inquiries from staff and management.

Collaborate with department heads to anticipate staffing needs based on census and acuity levels.

Communicate staffing concerns of patterns of absenteeism to the Director of Nursing and HR.

Generate staffing reports and summaries for management review.

Maintain up-to-date records of employee/contractors availability, licensure and certifications.

Participate in audits and compliance reviews related to staffing and medical records as applicable.

Prepare for New Admissions: charts, update forms, call bell system, consult, Transfer Records, Emergency Records.

Prepare Medical Supply Billing for a Private Resident and submit to Business Office.

Develop maintain and adjust nursing staff schedules on a daily, weekly and monthly basis, or as needed.

Ensure staffing levels meet the needs of the facility and comply with NJ state regulations and standards.

Monitor attendance, call-outs, tardiness, and other scheduling related issues.

Coordinate coverage for vacations, sick days, call-outs and unplanned absences.

Communicate schedule change to appropriate staff in a timely manner.

1. High School diploma or equivalent
2. General office skills - Proficiency in Microsoft Office Suite and scheduling/timekeeping software
3. Excellent organizational skills and attention to detail
4. Strong communication and interpersonal skills
5. Ability to handle sensitive information with discretion and professionalism
6. Prior experience in staffing, scheduling or healthcare administration
7. Flexible ability to plan and perform a wide variety of assignments
