Facility Support Associate

Department/Unit : Facility Maintenance Work Shift : Day (United States of America) Salary Range : $46,215.00 - $60,080.00 The Executive Secretary will perform secretarial, clerical, and general office duties, including handling and processing requisitions, check requests, purchase orders, utility bills, and personnel filing. Qualifications Minimum of an Associate’s Degree in Secretarial Science or equivalent and at least two years of experience as executive secretary, or a high school degree and/or Secretarial Program Certificate and at least seven years of progressive secretary experience. Must be able to communicate well verbally, be very organized and self‑motivated. Experience in MS Office Suite required. Basic Functions Perform secretarial and other administrative duties for the entire department, including foremen, supervisors, Directors and upper management, requiring above‑average tact and skills. Exercise considerable independent judgment and discretion in handling confidential data and complete tasks and projects in a timely fashion. Major Tasks, Duties and Responsibilities Perform secretarial, clerical and general office duties, which include handling and processing requisitions, check requests, purchase orders, and utility bills. File all related paperwork, including personnel filing. Act as receptionist to the office: screen telephone calls, walk‑ins, and begin problem resolution whenever possible; follow up to ensure resolution satisfaction. Type, copy and distribute material as necessary. Proficient in Microsoft Office applications, including Word, Excel and Access. Transcribe and distribute minutes for the BOC Committee. Set up meetings and arrange appointments for management. Assist in training new employees in office procedures. Type yearly employee evaluations containing confidential information, including salary. Update departmental spreadsheets and databases with employee information. Responsible for pickup and distribution of paychecks. Perform any other related tasks as needed. This role may require access to information considered sensitive to Albany Med Health System, its patients, affiliates, and partners, including but not limited to HIPAA Protected Health Information and other information regulated by Federal and New York State statutes.
