D270 Juvenile Probation About the Position The Probation Administrative Assistant uses their administrative and organizational skills to provide administrative support to the Juvenile Probation Department- Victims' Services. You will work with a team of highly committed professionals who envision a future where all youth are connected to the community, contributing members of society, and accountable for their behavior. The Probation Administrative Assistant position will be assigned to the Juvenile Probation Victims' Services Department.
Judicial Branch facilities are located throughout Maricopa County. Position may be reassigned to other locations. Positions located in the detention facility will require a polygraph and TB Test. All positions will require an interview and thorough background check.

Typically, successful candidates are hired at a salary rate up to the midpoint of the range, based on applicable experience, internal equity, and budgetary allowances.

Applicants must completely and fully answer any questions regarding felony and misdemeanor convictions including any convictions that have been expunged or set aside. Failure to include criminal history information is grounds for termination of an offer and employment. A conviction may not automatically disqualify an applicant.
The Judicial Branch of Arizona in Maricopa County participates in the State Retirement systems ASRS or PSPRS. As such, mandatory membership for all full-time employees includes payroll deducted contributions consistent with each retirement system's requirements. The current contribution rate for ASRS is 12.27% and the current contribution rate for PSPRS is 5.84% and up for the defined contribution plan and 8.82% for the defined benefit plan. - High School Diploma or GED
- Two (2) years of general clerical experience
- Post-secondary education may substitute for experience on a year-for-year basis
- Must have and maintain a valid Arizona Driver License as this position may require travel to various worksites throughout Maricopa County.
- Bilingual in both Spanish and English.
- Administrative and clerical procedures and systems such as word processing, managing files and records, designing forms and other office procedures and terminology.
- Principles and processes for providing customer service, including customer needs assessment, meeting quality standards for services and evaluation of customer satisfaction.
- Arizona Victims' Rights and services.
- Microsoft Office Suite (Excel, Word & Outlook).
- Effective written and verbal communication.
- The operation of office equipment such as fax machine, printer/copier and computer terminals.
- Using effective time management to handle multiple tasks at one time with numerous interruptions.
- Interact professionally with the public, probationers, detainees, probation staff, court staff, stakeholders and other third-party agencies.
- Prioritize tasks and projects according to urgency.
- Accurately prepare and maintain records, files and reports.
- Operate computer equipment and use software programs to complete required paperwork, reports, email correspondence, conduct research on the Internet and perform other administrative tasks.
- Adjust to changing circumstances, remain flexible, take on other roles when necessary and adapt to changing priorities as the situation requires.
- Provide customers with clear explanations and directions verbally or in writing.
- Respond to customer inquiries and requests in a timely and complete manner and resolve issues at the lowest organizational level.
- Establish and maintain working relationships with others.
- Make sound decisions in accordance with regulations, policies, and procedures.
- Provides excellent customer service to the public, probation staff, court staff, stakeholders, and other agency personnel.
- Answers telephones and emails to respond to a variety of customer and staff questions.
- Reviews documents for accuracy and enters confidential information into appropriate computer system with minimal errors.
- Copies, scans and faxes documents, distributes documents and mail, processes paperwork, stocks supplies, files documents.
- Creates, maintains, and distributes files to the proper parties.
- Utilizes computer to generate memos, reports and correspondence, and research file status.
- Notarizes court documents.
