Receiving & Inventory Coordinator

Meadow Lane is seeking a highly organized, detail-oriented Receiving & Inventory Coordinator to oversee the receipt, tracking, organization, and replenishment of products and supplies across our store.

This is a hands-on, operations-focused position responsible for ensuring that incoming deliveries are accurately received, inventory is properly maintained, products are organized, and the systems supporting daily store operations are kept up to date.

The ideal candidate is proactive, organized, efficient, and comfortable managing multiple moving parts in a fast-paced retail and food environment.

Receiving & Deliveries

• Oversee daily receiving of all incoming deliveries, including retail goods, produce, packaging, and operational supplies.
• Verify deliveries against purchase orders and invoices, checking quantities, quality, and accuracy.
• Identify and resolve missing, damaged, or incorrect shipments with vendors.
• Ensure all received products are promptly organized, stored, and distributed to the appropriate areas.
• Maintain accurate receiving records and communicate discrepancies or supply issues to management.

Inventory Management & Ordering

• Conduct regular inventory counts across packaging, retail products, produce, and FOH supplies.
• Maintain accurate inventory records and monitor stock levels.
• Coordinate replenishment and place orders to prevent shortages and overstocking.
• Establish and maintain organized product storage and inventory systems.
• Monitor product movement, expiration dates, and waste.
• Coordinate with store management and kitchen teams to anticipate inventory needs.

Retail Systems & Store Operations

• Manage and maintain the Toast POS system, including product listings, pricing, availability, and menu updates.
• Oversee third-party delivery platforms, ensuring menus, pricing, inventory availability, and product information remain accurate.
• Maintain accurate product organization and categorization across retail and operational systems.
• Coordinate FOH inventory counts and supply replenishment.
• Troubleshoot day-to-day operational issues related to inventory, ordering, and retail systems.

Catering & Order Coordination

• Support catering operations through order tracking, organization, and fulfillment coordination.
• Communicate catering requirements to relevant teams and ensure orders are accurately prepared and scheduled.
• Assist with catering platform management and administrative processes.

• Previous experience in grocery, specialty food retail, hospitality, inventory, receiving, or store operations preferred.
• Strong organizational skills and exceptional attention to detail.
• Ability to manage multiple deliveries, vendors, and priorities simultaneously.
• Experience with POS systems, particularly Toast, is a plus.
• Comfortable working with inventory tracking systems and spreadsheets.
• Strong communication skills and ability to coordinate across FOH, kitchen, and management teams.
• Proactive problem-solver who takes ownership of responsibilities.
• Comfortable with the physical requirements of receiving, moving, and organizing merchandise and supplies.
