We are seeking a highly motivated and organized Administrative Assistant to support our environmental compliance team at Cape Canaveral Space Force Station and Patrick Space Force Base. This is a part-time position at 20 hours a week, working on-site. 

This position is ideal for an administrative professional who enjoys working in a team-oriented environment, managing multiple priorities, preparing professional documents, and providing exceptional support to technical staff and clients. Previous environmental or military installation experience is helpful, but not required .

What You'll Do

The Administrative Assistant provides day-to-day administrative and program support to our environmental team. Responsibilities include:

• Prepare, format, proofread, and edit correspondence, memoranda, reports, forms, presentations, and other documents.
• Review outgoing correspondence for accuracy, formatting, grammar, and compliance with established documentation standards.
• Use The Tongue and Quill and other applicable guidance when preparing or formatting official correspondence.
• Maintain electronic and hard-copy files, records, and program documentation in accordance with project requirements.
• Manage calendars and assist with scheduling meetings, appointments, and other team activities.
• Attend meetings, prepare meeting minutes, and track follow-up items as needed.
• Assist with preparing PowerPoint presentations, management briefings, reports, and other program materials.
• Support the preparation, submission, organization, and tracking of reports, permits, purchases, and other project documentation.
• Receive and route correspondence, telephone calls, visitors, and requests to the appropriate team members.
• Assist with data entry, tracking spreadsheets, databases, and other administrative systems.
• Coordinate with team members across multiple environmental programs to support deadlines and project requirements.
• Maintain office supplies and inventory and assist with general office operations as needed.

What We're Looking For

• High school diploma or equivalent.
• Previous administrative, office, project-support, or similar professional experience.
• Proficiency with Microsoft Office applications, particularly Word, Excel, PowerPoint, and Outlook.
• Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
• Strong written and verbal communication skills, including attention to grammar, formatting, and document accuracy.
• Strong customer-service and interpersonal skills with the ability to interact professionally with clients, team members, and other stakeholders.
• Ability to work independently while also contributing effectively as part of a team.
• Experience maintaining electronic records, spreadsheets, databases, or similar information-management systems.
• Valid driver's license and ability to operate Government or company vehicles when required.
• Ability to meet applicable Government background, access, drug-screening, Common Access Card (CAC), and information-technology access requirements.
• Must be legally authorized to work in the United States without current or future employer sponsorship.

Preferred Qualifications

The following experience is helpful but is not required :

• Associate's or bachelor's degree, college coursework, or additional administrative/business training.
• Previous administrative or project-support experience in an environmental, engineering, consulting, Government, or technical organization.
• Experience working on a military installation or supporting a Department of Defense organization.
• Familiarity with The Tongue and Quill or other Government correspondence standards.
• Familiarity with environmental programs or regulations such as RCRA, DOT hazardous materials requirements, the Clean Water Act, EPCRA, or the Clean Air Act.
• Experience supporting multiple projects, programs, or technical staff members.
• Experience preparing meeting minutes, reports, presentations, or other professional documentation.
