Executive Administrator

Our client is seeking an experienced Executive Administrator to provide high-level administrative, operational, and data support to senior investment and operations leaders. This opportunity is ideal for a polished administrative professional who excels in a fast-paced professional services environment and demonstrates exceptional judgment, discretion, and attention to detail.
The Executive Administrator will act as a trusted partner to senior professionals, managing complex day-to-day administrative responsibilities while also supporting data management, process coordination, and overall office operations. The ideal candidate is highly organized, adaptable, and proactive, with the ability to manage competing priorities, anticipate needs, and work collaboratively across administrative and operations teams.
Responsibilities
- Provide comprehensive administrative support to several senior investment and operations professionals, including calendar management, meeting coordination, and correspondence support.
- Anticipate needs by proactively managing priorities and resolving conflicts before escalation.
- Coordinate board meetings, investor-related events, and private dinners with a high degree of professionalism and confidentiality.
- Oversee complex domestic and international travel arrangements for senior leadership, requiring sound judgment, real-time problem-solving, and seamless coordination across multiple stakeholders and time zones.
- Coordinate complex scheduling across internal teams/external stakeholders, exercising discretion and sound judgment.
- Prepare, review, and manage expense reports, travel arrangements, and related documentation.
- Serve as a reliable point of contact for executives, ensuring seamless day-to-day support.
- Perform accurate and timely data entry across internal systems, including deal, executive, and contact information. Maintain data integrity by reviewing entries for accuracy and completeness.
- Support reporting, data organization, and basic analysis as needed by investment, talent, or operations teams.
- Provide general office support, including coordinating supplies, organizing shared spaces, and assisting with meeting logistics.
- Support conference room meeting execution as needed, including assisting with Microsoft Teams and Zoom setup and basic AV Troubleshooting for hybrid and in-person meetings.
- Support firm initiatives, recruiting processes, onboarding activities, and internal projects as needed.
- Collaborate with other Executive Administrators and administrative staff to ensure consistent service coverage and best practices across the firm.
Ideal Experience
- 5+ years of experience as an Executive Administrator or Executive Assistant supporting senior-level professionals.
- Prior experience in a professional services environment (e.g., private equity, investment management, consulting, law firm, or similar).
- Demonstrated ability to support multiple executives simultaneously while managing competing priorities.
- Exceptional attention to detail, organizational skills, and follow-through.
- Strong written and verbal communication skills.
- Advanced proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint); comfort working with internal systems and databases.
- Experience working in a highly confidential, deadline-driven environment.
- Professional, discreet, and trusted with confidential information.
- Calm under pressure and adaptable in a fast-paced environment.
