About the Role:

Colonial Property Management is seeking a motivated, personable, and organized Property Manager to oversee the effective, efficient, and profitable management of an assigned property portfolio.

The Property Manager will be responsible for the day-to-day operations of the property, including marketing and leasing, resident relations and retention, facilities management, financial reporting, employee supervision, and achieving established operating and financial goals.

Key Responsibilities

Personnel Management

• Hire, train, coach, and supervise property personnel in accordance with company policies and direction from the Operations Director.
• Establish daily staff schedules and ensure adequate office, maintenance, and emergency coverage.
• Conduct employee evaluations and provide recommendations regarding advancement and compensation.
• Maintain accurate payroll and time-off records.
• Conduct daily morning meetings to establish priorities and address property issues.
• Maintain open communication with the Operations Director.
• Provide effective leadership to a diverse team.

Marketing & Leasing

• Provide professional customer service and maintain excellent phone, email, and voicemail communication.
• Become knowledgeable about the property's features, amenities, location, and surrounding neighborhood.
• Establish and maintain occupancy goals.
• Develop monthly marketing plans in coordination with the Operations Director.
• Oversee lease applications, lease agreements, renewals, and related documentation.
• Monitor leasing traffic and property availability.
• Prepare and maintain accurate leasing reports.
• Ensure company websites and internet listing sites are accurate and regularly updated.
• Review market data and recommend pricing adjustments to the Operations Director.

Budgets & Financials

• Oversee the rent collection process and monitor delinquent balances.
• Maintain accurate lease and financial transactions in AppFolio
• Ensure bank deposits are completed according to company guidelines.
• Approve necessary supplies and equipment purchases in accordance with budget and company policies.
• Work within the established operating budget and review budget variances.
• Assist with preparation of the annual budget.
• Complete past-due debt procedures according to company policies.

Resident Relations & Property Operations

• Maintain resident satisfaction through effective communication and professional relationships.
• Oversee move-in and move-out processes.
• Ensure maintenance requests are handled promptly and satisfactorily.
• Handle resident complaints and difficult customer interactions.
• Help plan and participate in resident events.
• Review and monitor timelines and budgets for turnovers and remodels.
• Initiate and monitor legal actions under the supervision of the Operations Director.
• Follow and ensure compliance with applicable Fair Housing requirements.

Maintenance & Facilities

• Regularly inspect common areas, vacant apartments, and grounds to maintain excellent property appearance.
• Coordinate property issues with the Operations Director and Director of Maintenance.
• Conduct weekly cleaning inspections and maintain required documentation.
• Obtain contractor bids and supervise outside vendors.
• Communicate maintenance issues and ensure timely resolution.
• Coordinate tenant notices when entry to occupied units is required.
• Ensure unsafe conditions are corrected or reported appropriately.
• Monitor maintenance shops, storage areas, inventory, tools, and equipment.
• Maintain the asset improvement project list according to company procedures.

General & Administrative

• Use AppFolio and other computer programs required for the position.
• Understand applications, leases, addendums, and related documents.
• Comply with federal, state, local, and company policies and procedures.
• Participate in required training and company SOP updates.
• Maintain a neat, clean, and professional appearance.
• Provide daily reports to the Operations Manager and Owner.
• Perform other duties necessary to support the success of Colonial Property Management.

Qualifications

• High school diploma required ; college degree in business, marketing, or a related field preferred.
• 2–5 years of related work experience , including previous property management experience.
• Strong interpersonal and communication skills.
• Professional, friendly, and articulate when interacting with residents, employees, vendors, and others.
• Highly organized and detail-oriented.
• Ability to multitask and prioritize responsibilities.
• Proficiency with Microsoft Office
• Experience with property management software; AppFolio experience preferred
• Knowledge of financial reporting.
• Fair Housing Certification or willingness to obtain certification.

Physical & Other Requirements

• Ability to periodically lift up to 20 lbs.
• Ability to walk and regularly traverse stairs.
• Ability to work both indoors and outdoors in varying weather conditions, including heat, rain, cold, and snow.
• Must wear appropriate slip-resistant footwear for the season.
• Ability to work extended hours when required.
• Valid driver's license and operable vehicle with insurance required. xhyhwjd
