Commercial Real Estate Specialist

We are seeking a highly organized and proactive Real Estate Operations & Lease Coordinator to support a growing portfolio of commercial properties. This position focuses on lease administration, real estate operations, vendor and contractor coordination, project tracking, and general administrative support. About the Role The successful candidate will work closely with property management, internal departments, contractors, and outside vendors to help keep property-related projects, services, and lease responsibilities organized and on schedule. This role also requires experience reviewing property invoices, confirming the accuracy of charges, coding invoices to the appropriate property or expense category, and submitting them for payment. This is a hands‑on coordination role for someone who can manage multiple priorities, communicate effectively with vendors and contractors, and follow assignments through to completion. Responsibilities Maintain organized records of lease agreements, amendments, renewals, and related property documentation. Track important lease terms, including commencement dates, expiration dates, renewal options, rent schedules, escalations, and notice requirements. Assist with lease administration and ensure important dates and obligations are communicated to the appropriate internal teams. Coordinate with property managers, internal departments, contractors, and vendors regarding property maintenance, repairs, renovations, and improvement projects. Track active projects, service requests, deadlines, open items, and required follow‑up. Communicate regularly with contractors and vendors to confirm schedules, project status, required documentation, and completion dates. Property Invoice Review & Payment Support Receive and review invoices from contractors, vendors, utility providers, and other property-related service providers. Verify that invoices are accurate and supported by the appropriate contract, proposal, purchase authorization, or completed work. Code invoices to the appropriate property, project, department, general ledger account, or expense category. Serve as a primary point of contact for contractors and vendors regarding scheduling, documentation, invoices, and project updates. Monitor vendor performance and follow up on outstanding assignments or incomplete work. Build professional working relationships with vendors while maintaining accountability for deadlines and service expectations. General Support Prepare reports, spreadsheets, project trackers, lease summaries, and other property-related documentation. Provide administrative support to property management, accounting, facilities, and leadership teams. Assist with special projects and other day-to-day responsibilities that support real estate operations. #J-18808-Ljbffr
