Grants Manager & Advancement Officer

Salary: $83,000 - $93,000 annually

 

Position Summary

The Grants Manager & Advancement Officer leads CLINIC’s institutional grants program and supports selected individual giving and major gift initiatives. The position manages the full grant lifecycle, including prospect research, proposal development, budgeting, compliance, reporting, stewardship, renewal, and closeout. Serving as a liaison among Advancement, Finance, Programs, and Executive Leadership, the role maintains effective grants systems and converts program and financial information into compelling, funder-ready materials. The position strengthens and diversifies philanthropic revenue by cultivating institutional relationships and contributing to integrated Advancement strategies.

 

Essential Duties and Responsibilities

Proposal Development, Grant Writing and Reporting 40%

• Lead the development of competitive proposals, letters of intent, concept papers, renewal requests, and other institutional funding submissions.
• Translate complex program information into clear, persuasive, outcomes-focused narratives tailored to funder requirements.
• Manage proposal schedules, internal reviews, approvals, and the collection of programmatic, financial, organizational, and supporting materials.
• Ensure submissions are accurate, complete, timely, and compliant, and maintain reusable narratives, data, templates, and supporting content.
• Lead the preparation and timely submission of interim, annual, final, and other required reports.
• Create outcome narratives, impact stories, funder updates, stewardship communications, and renewal materials that demonstrate results and use of funds.
• Serve as a primary grants liaison among Advancement, Finance, Programs, and Executive Leadership.

Grant Administration and Compliance 15%

• Lead grant planning, kickoff, reporting, and closeout meetings, establishing clear roles, deliverables, timelines, and accountability.
• Review grant agreements, contracts, memoranda of understanding, award letters, restrictions, deliverables, and reporting requirements.
• Coordinate post-award administration with Finance and program teams and monitor performance against grant commitments.
• Lead compliance reviews; support funder audits and desk reviews; and coordinate modifications, extensions, renewals, and closeout activities.
• Communicate award requirements and restrictions to responsible staff and address potential compliance concerns promptly.
• Maintain accurate grant records, dashboards, calendars, templates, standard operating procedures, and CRM data.

Grants Strategy and Portfolio Management 15%

• Manage the institutional grants portfolio across the full lifecycle, from prospect identification through renewal and closeout.
• Develop annual grants work plans, funding calendars, reporting schedules, and proposal pipelines aligned with fundraising goals.
• Monitor portfolio performance, analyze projected and secured revenue, and recommend strategies to diversify institutional funding.
• Advise the Director of Advancement on grants strategy, priorities, operational risks, and process improvements.

Prospect Research and Funding Development 10%

• Partner with the Prospect Researcher to identify and qualify foundation, corporate, government, and other institutional prospects.
• Monitor funding announcements and requests for proposals, assessing opportunities for strategic alignment, competitiveness, organizational capacity, and return on investment.
• Maintain a current prospect pipeline and help develop cultivation strategies for priority institutional funders.

Budget Development and Financial Oversight 10%

• Collaborate with Finance and program leaders to develop proposal budgets, budget narratives, revenue projections, and forecasts.
• Ensure proposed budgets align with program activities, organizational capacity, and funder requirements.
• Monitor grant spending and budget utilization, review financial reports for accuracy, and identify variances or compliance risks.

Advancement and Relationship Management 10%

• Maintain appropriate communications with institutional funders, coordinate responses to information requests, and identify opportunities to deepen relationships.
• Support the Director of Advancement and Executive Director in cultivating and stewarding institutional funders, individual donors, and major gift prospects.
• Prepare funder and donor profiles, executive briefings, talking points, presentations, meeting summaries, and follow-up communications.
• Participate in funder and donor meetings, site visits, and other engagement activities, and coordinate resulting follow-up actions.
• Develop grants-related content for case statements, annual and impact reports, newsletters, presentations, and donor communications.
• Coordinate organizational responses to complex opportunities and facilitate the timely collection of proposal and reporting information.

Qualifications

Required

• Bachelor’s degree or equivalent in education and experience.
• Minimum of five years of progressively responsible experience in grant writing, grants management, institutional fundraising, or a closely related field.
• Demonstrated success managing complex foundation, corporate, government, and other institutional grants across the full lifecycle. Noted success developing significant proposals, including seven figure and multi-year requests.
• Experience developing grant budgets and interpreting grant agreements, funding requirements, budgets, and financial reports.
• Experience cultivating, soliciting, and stewarding individual donors and supporting major gift fundraising.
• Exceptional writing, editing, storytelling, research, and analytical skills.
• Strong project management and organizational skills, with the ability to manage multiple complex projects and competing deadlines with accuracy and attention to detail.
• Demonstrated ability to collaborate effectively across Finance, Programs, Advancement, and Executive Leadership.
• Advanced proficiency with Microsoft Office and experience using CRM, grants management, or comparable database systems.

Preferred

• Advanced degree in Public Administration, Nonprofit Management, Communications, Business, or a related discipline.
• Certified Grant Professional, project management certification, or comparable professional credential.
• Experience with nonprofit accounting and financial reporting systems.
• Experience with system implementation or optimization.
• Experience supporting donor cultivation and stewardship within a national nonprofit organization.
