Special Education/Transportation Administrative Assistant

Fairbury Public Schools

Due to retirement, Fairbury Public Schools is seeking a highly organized, detail-oriented, and collaborative professional to serve as the Special Education/Transportation Administrative Assistant at the District Office. This position provides administrative support for the district's special education program, assists with state and federal grant management, and coordinates district transportation-related responsibilities involving small vehicle use, maintenance, and compliance. The ideal candidate will possess strong organizational and communication skills, maintain strict confidentiality, and demonstrate the ability to manage multiple responsibilities in a fast-paced educational environment while supporting students, staff, families, and community partners. Primary Responsibilities Administrative Support: Provide administrative assistance to the Director of Special Education and District Office staff. Serve as a primary point of contact for special education staff, families, service providers, and outside agencies. Manage correspondence, phone calls, records, and documentation. Prepare reports, letters and district communications. Maintain confidential student records and special education files in compliance with state and federal regulations. Assist with scheduling and coordinating special education meetings, training, and professional development activities. Transportation Coordination : Manage and fulfill district vehicle requests. Schedule and track routine vehicle maintenance and repairs. Maintain transportation records and documentation. Administer driver dexterity tests as required. Coordinate required testing, physicals, and certifications for district drivers. Grants Management : Assist with the tracking, monitoring, and reporting of state and federal special education grants. Monitor grant expenditures and maintain accurate financial and program documentation. Collaborate with district administration to ensure compliance with grant requirements, timelines, and reporting deadlines. Maintain organized records for audits, reimbursements, and grant reporting. Support budget development and monitoring for special education programs and services. Qualifications: High school diploma required; associate degree or related postsecondary training preferred. Previous administrative assistant or office experience preferred. Experience in education, special education, grant management, bookkeeping, or related fields strongly preferred. Strong organizational, multitasking, and time-management skills. Excellent written and verbal communication skills. Proficiency with Google Workspace, spreadsheets, and data management systems. Ability to maintain confidentiality and professionalism at all times. Strong attention to detail, accuracy, and follow-through.
