Executive Assistant to the Operations Director

$22-$26 per hour

Position Summary

The Executive Assistant provides administrative, operational, and clinical support to the Operations Director, helping ensure the daily success of Jackson Dental.

This role combines executive support with hands-on operational responsibilities. The Executive Assistant helps maintain efficient patient flow, supports clinical documentation, coordinates schedules, manages projects, and assists in carrying out the strategic initiatives of the practice.

This position is ideal for an organized, proactive individual who enjoys solving problems, supporting others, and learning every aspect of practice operations. It is designed as a developmental role for future operational leadership within Jackson Dental.

Primary Responsibilities

Executive Support

• Manage the Operations Director's calendar, meetings, and daily priorities.
• Keeping the daily obligations of the Operation's Director on time.
• Maintain confidential records and correspondence.
• Help prioritize tasks and keep projects on schedule.

Clinical & Operational Support

• Enter clinical notes and documentation accurately.
• Assist with patient flow to ensure an efficient clinical schedule.
• Support providers and administrative teams with operational needs.
• Help troubleshoot daily workflow challenges.
• Coordinate communication between departments as needed.

Project & Administrative Coordination

• Assist with office projects and new initiatives.
• Help develop and maintain office systems and procedures.
• Prepare reports, spreadsheets, presentations, and documentation.

Communication

• Serve as a professional liaison between leadership, team members, vendors, and outside partners.
• Communicate clearly, professionally, and confidentially.
• Promote collaboration and positive communication throughout the practice.
