Executive Administrative Assistant to VP

  • Plans and coordinates travel for Sales executives.
    • Identifies the best times and opportunities for travel.
    • Anticipates and is proactive with travel needs:
    • Hotels, Flights, rental Cars, restaurants, etc.
  • Manage calendars and schedule meetings for executives.
    • Coordinates room and location information
    • Distributes any information needed prior to events.
    • Assists with any catering needs including ordering meals and communicating with vendors: comfortable reviewing pricing options and negotiating with vendors when appropriate.
  • Assist the Sales Event Coordinator with logistics and planning.
  • Document and maintain meeting preferences.
  • Work with leader to prioritize meetings and evaluate executive participation in meetings.
  • Additional general administrative duties, to include filling out expense reports, invoice processing, ordering office supplies, etc..
  • Provides support in preparing presentations, utilizing Microsoft Suite.
  • Handles confidential information carefully.
  • Manage timelines and deliverables effectively.
  • Acts as a gatekeeper for executive calendars.
  • Works collaboratively as a strong relationship builder.
Your Experience, Skills & Competencies
  • High School diploma required, Bachelor's degree in related field preferred or equivalent experience
  • 3-5 years' experience in performing Administrative Assistant responsibilities; prior experience supporting executives strongly preferred
  • Proficient in Microsoft Outlook, Excel, PowerPoint and Word
  • Excellent verbal, written, and listening communication required
  • Detail-oriented mindset, with strong organizational skills
  • Demonstrates key competencies to include: Situational Adaptability, Customer Focus, and Collaborates
Your Team This is an individual contributor role that will report to the Senior Vice President of Foundation Development - but you will also support and work closely with other department executives. Additionally, you will collaborate with cross functional departments on a regular basis. Your Work Location As our Executive Administrative Assistant to VP, you will be based in our beautiful, state-of-the-art worldwide corporate headquarters in North Bethesda, MD. Less than 15 miles from Washington, DC, we're located one block away from the North Bethesda Metro station, with service on the Red Line and the MARC Brunswick line, easy access to I-270, and plenty of free parking provided by Choice Hotels. Right now, our associates in corporate headquarters are working in a hybrid environment, up to 4 days per week in the office and virtual from your home office the remaining days.
