Coordinator-Community Partnerships and Events-UYA Job Description Posted Monday, August 10, 2026 at 6:00 AM Job Title: Urban Youth Academy - Coordinator, Community Partnerships and Events Job Summary: The Kansas City Urban Youth Academy is a nonprofit organization with the mission to empower Kansas City's urban youth to unlock their potential and become the leaders of tomorrow through baseball and softball. This position is housed at the Urban Youth Academy (UYA) and supports the Academy's community engagement efforts through partnership development, community outreach, event coordination, and program promotion. The Community Partnerships & Events Coordinator serves as the primary point of contact for community partnerships, builds and maintains relationships with schools, nonprofit organizations, businesses, and community stakeholders, and coordinates events that advance the Academy's mission. The Coordinator collaborates across departments to increase awareness and participation in Academy programs through community outreach, event execution, social media engagement, and community recruitment efforts. This position reports to the Manager, Community Engagement & Programs. Position Accountabilities/Responsibilities: Community Partnerships: Serve as the primary contact for all community partnership requests. Act as a liaison between the organization and community partners to foster new relationships and enhance existing ones. Build strong relationships with internal and external stakeholders by ensuring thorough follow-up and adherence to deadlines. Develop and nurture relationships with local non-profits, schools, and other community organizations. Gather complete information for partnership and external requests, including participant counts, age ranges, proposed dates, staffing, equipment, facility needs, and desired outcomes. Maintain accurate records of partnership conversations, approvals, commitments, deadlines, and next steps. Support partnership opportunities while following established approval and communication processes. Collaborate with the Manager, Community Engagement & Programs to support the Summer Food Service Program, including required training, compliance, and daily program operations. Represent the Academy at community meetings, outreach events, and partnership opportunities. Support community outreach efforts designed to increase awareness and participation in Academy programming. Support youth recruitment efforts across Academy programs and special events. Maintain a database of community contacts, partnerships, and engagement activities. Event Coordination: Plan, organize, and execute various events, including youth-focused, fundraising, educational camps, corporate, and community events. Oversee event logistics, including vendor coordination, venue setup, and volunteer recruitment. Create and manage event sheets, contracts, certificates of insurance (COI), vendor lists, and floor plans for corporate, community, and Academy events. Coordinate summer camp logistics, registrations, participant communications, and daily operations to ensure a high-quality participant experience. Assist with summer camp staffing, onboarding, scheduling, and operational support. Assist with the recruitment, onboarding, coordination, and communication of certified teachers and program instructors for summer camp programming. Prepare post-event reports and evaluations to measure outcomes and identify future improvements. Support fundraising and donor engagement events as assigned. Develop event timelines, staffing assignments, run-of-show documents, equipment plans, participant communications, and contingency plans. Anticipate and respond professionally to schedule changes, partner needs, event adjustments, weather concerns, and other unexpected circumstances. Support baseball and softball programs, clinics, camps, tournaments, school visits, and special events as assigned. Complete event setup, breakdown, documentation, and follow-up responsibilities with attention to detail and timely communication. Administrative Duties: Create and maintain a comprehensive calendar of events and community activities. Track and report metrics on participation, attendance, and event success. Capture and edit photos of events and activities for promotional materials and social media. Post updates on social media and track engagement metrics. Design TV graphics and signage for events. Develop a building calendar that includes all events, programming, and open gym schedules. Maintain organized and up-to-date records of all community plans, processes, and events. Assist with budget tracking related to community engagement programs and events. Maintain participation and partnership data for reporting purposes. Prepare reports highlighting community engagement impact and outcomes. Prepare and communicate timely facility, program, schedule, registration, cancellation, and closure updates through approved channels. Ensure facility signage, television graphics, schedules, and informational materials are accurate, current, and updated as needed. Provide timely status updates and communicate early when a deadline, commitment, or deliverable may be at risk. Identify opportunities to improve checklists, templates, workflows, and planning processes. Physical Requirements: Ability to lift items weighing as much as 25 pounds. Must be able to work in a seated position for the majority of the workday. Must be able to be productive utilizing a computer keyboard and telephone. Must be able to be productive in a work environment where the noise level can be high at times. Must be comfortable walking to navigate the facility to access the office, concourse, etc. Must be able to stand and walk for extended periods during programs, camps, events, and community activities. Must be able to work extended hours and/or weekends as required by deadlines and event scheduling.
