Job Summary

The Client Services Specialist is responsible for providing excellent client service, new client enrollment, managing reservations, maintaining retail inventory, ordering supplies, and processing invoices and payments. This role ensures that the reception and retail area, introduction room, and common areas remain clean and organized. The Client Services Specialist reports to the Client Services Lead.

Key Responsibilities

• Greet clients and assist them while maintaining professional and friendly communication.

• Answer and document phone calls, voicemails, texts, and emails promptly.

• Manage reservations, boarding inventory, feeding instructions, and medications using Moego Software.

• Send high-quality photos and videos of pets to clients; recommend additional services and products.

• Coordinate with daycare staff to ensure smooth operations, especially for opening/closing, early drop-offs, and late pickups.

• Maintain supply inventory and order office and facility supplies with management approval.

• Process invoices and payments; reconcile cash daily and resolve discrepancies.

• Ensure client paperwork (contracts, orientation, medical/vaccine records) is complete and properly filed.

• Perform assigned cleaning duties according to the office’s rotating cleaning schedule.

• Keep Leads and Owners informed about emergencies, client concerns, or new client activity.

 

Qualifications

• High school diploma required.

• 1–2 years of experience in client service and payment processing.

• Excellent oral communication skills and proficient written communication.

• Strong math and sales skills preferred.

• Dependable and self-motivated, with attention to detail.

• Ability to work independently and as part of a team.

• Strong decision-making and problem-solving skills.

• Good organizational and planning abilities.

• Flexibility and adaptability in a fast-paced work environment.

 

Mandatory Training (we will provide)

o IBPSA or equivalent completion certificates in Canine Body Language, Dog Handling & Equipment, Teaching Canine Basic Behaviors, Customer Service & Management

o IBPSA Certification in Canine Provider and Canine Specialist

 

Work Environment & Physical Demands

• Standing, walking, bending, and manual dexterity required throughout shifts.

• Use of personal computer, telephone, calculator, and 2-way radio.

• Lifting and carrying items over 25 lbs. as part of daily tasks.

• Exposure to a busy, fast-paced environment requiring rapid task switching and customer interaction.

 

Schedule & Pay

• • Full-time or part-time; schedule may include evenings and every other weekend, and holiday.

· We can schedule around school hours if needed.
• Pay based on experience; opportunities for advancement available.

 

Reporting Structure

• Reports to the Client Services Lead
