The Executive Assistant serves as a key operational partner to the Executive Director and Management Team, responsible for maximizing leadership effectiveness through proactive coordination, prioritization, and execution support. This role goes beyond traditional administrative support by managing the flow of information, ensuring alignment across priorities, and driving follow-through on key initiatives. The Executive Assistant acts as a central point of coordination for leadership activities, helping ensure that strategic objectives are translated into organized, timely, and well-executed actions. Salary and Benefits The salary range for this position is $69,000 to $85,000 per year depending on experience. Ideal Candidate The ideal candidate is highly organized, proactive, and capable of operating with a high degree of discretion and judgment. This individual anticipates needs, manages competing priorities effectively, and communicates clearly on behalf of leadership. They are comfortable coordinating across teams, tracking multiple initiatives, and ensuring that commitments and deadlines are met. Responsibilities Calendar Management Manages the Executive Director’s calendar with a focus on prioritization, efficiency, and alignment with organizational objectives, not just scheduling. Anticipates needs and proactively prepares materials, communications, and logistics in advance of meetings and commitments. Serves as a gatekeeper for incoming requests, helping prioritize and direct matters appropriately. Meeting & Communication Management Coordinates and prepares for executive/board‑level meetings, staff meetings, and other leadership gatherings. Prepares materials, manages meeting logistics, and captures key decisions, action items, and follow‑ups to ensure timely communication and execution. Drafts and refines communications on behalf of the Executive Director, including responses to employer/entity inquiries and internal messaging. Project Coordination & Follow‑Through Coordinates management projects and initiatives, ensuring defined responsibilities and consistent follow‑up. Tracks progress on key initiatives and provides regular status updates to leadership. Helps ensure alignment across departments by monitoring action items and removing bottlenecks where possible. Board & External Partner Support Supports Association Board communication and coordination, including preparing materials and recording and distributing meeting minutes. Assists with communication and follow‑up related to prospective and existing entities. Cross‑Functional Support & Coverage Provides support to other members of the Management Team as needed. Acts as a backup to the administrative front desk assistant when necessary. Serves as a central coordination point for administrative and operational needs across leadership. Accountability – Takes ownership of responsibilities and follows through on commitments, ensuring tasks, communications, and projects are completed accurately and on time. Problem Solving/Analytical Thinking – Ability to identify issues, evaluate options, and support effective decision‑making with an understanding of broader implications. Teamwork/Relationship Building – Builds strong working relationships across the organization, works cooperatively with others to achieve shared goals, and contributes to a culture of trust and collaboration. Qualifications Bachelor’s degree or equivalent work experience. Strong written and verbal communication skills, with the ability to draft professional correspondence on behalf of leadership. Demonstrated ability to manage multiple priorities in a fast‑paced environment. Strong organizational and time‑management skills, with attention to detail. Ability to work independently, exercise judgment, and handle sensitive information with discretion. Experience coordinating projects, meetings, or cross‑functional initiatives. Proficiency with Microsoft Outlook, Word, Excel, and Salesforce (or similar CRM systems).
