Accounts Payable Specialist

*MUST HAVE COMMERCIAL AP/AR EXPERIENCE*

Location: Downtown

Schedule: Monday – Friday | 8:00 AM – 5:00 PM

Pay Rate: $28.00 – $31.00 per hour

Position Type: Full-Time | 90-Day Contract-to-Hire

We are a privately owned real estate company located in Downtown Houston with a diverse portfolio of commercial retail shopping centers. We are seeking a detail-oriented and proactive Accounts Payable Specialist to join our accounting team. This individual will play a critical role in managing accounts payable functions across multiple entities while supporting the overall financial operations of the company.

The Accounts Payable Specialist is responsible for the accurate and timely processing of invoices, vendor account management, expense tracking, and various accounting-related functions for multiple real estate entities. The ideal candidate will have strong accounts payable experience, exceptional organizational skills, and the ability to manage competing priorities in a deadline-driven environment.

• Process and enter invoices accurately and efficiently for 12 entities.
• Prepare billing support documentation, including copying, sorting, and attaching monthly invoice support for supervisor review and approval.
• Review invoices for accuracy, reasonableness, and compliance with contracted terms, rates, and usage.
• Process weekly check runs to ensure vendors are paid according to payment terms.
• Maintain and manage the accounts payable email inbox daily.
• Manage relationships with 200+ vendors and respond to vendor inquiries in a professional and timely manner.
• Reconcile vendor accounts and proactively resolve payment discrepancies or issues.
• Maintain organized vendor files and update recurring billing spreadsheets.
• Review, code, and allocate expenses to the appropriate real estate properties and general ledger accounts.
• Ensure all invoices are accurately coded and processed according to accounting procedures.
• Coordinate with the operations team regarding vendor payments and tenant ledger inquiries.
• Manage and process contract timesheet reporting and intercompany expense allocations.
• Track project costs, monitor job-related expenses, and maintain project lien release documentation.
• Process partner distributions and annual 1099 reporting for approximately 10 entities.
• Consistently meet established deadlines while identifying and escalating issues to the Real Estate Accounting Supervisor.
• Assist with special accounting projects and additional duties as assigned.

• Build and maintain strong working relationships with internal teams, tenants, vendors, and external stakeholders.
• Provide excellent customer service through proactive communication and timely resolution of vendor inquiries and concerns.

• Post-secondary degree or diploma in Accounting, Finance, or a related field preferred; equivalent relevant experience will be considered.
• Minimum of 2+ years of accounts payable experience required.
• Understanding of bookkeeping principles and accounts payable processes.
• Experience with QuickBooks required.
• Intermediate proficiency in Microsoft Office Suite, particularly Outlook, Excel, and Word.
• Real estate accounting experience, multi-property accounting experience, or familiarity with Yardi property management software is highly preferred.
• Excellent verbal and written communication skills.
• Strong attention to detail with a high level of accuracy.
• Ability to prioritize multiple tasks and thrive in a deadline-driven environment.
• Strong problem-solving skills with sound judgment and common-sense decision-making.
• Self-motivated with the ability to work independently and collaboratively within a team.
• Excellent organizational skills and strong follow-through.

• Hourly compensation of $28.00 – $31.00 per hour .
• Full-time schedule, Monday through Friday, 8:00 AM – 5:00 PM.
• Free parking provided at the Downtown Houston office.

Employees will maintain the same hourly compensation rate and become eligible for the company’s comprehensive benefits package valued at approximately $17,000 annually , including:

• 18 paid vacation days per year (accrued at 1.5 days per month).
