EXECUTIVE ASSISTANT TO ASSOCIATE PROVOST & VP RESEARCH, University Research

Overview Boston University's Office of Research is seeking an Executive Assistant to provide high-level administrative and operational support to the Vice President and Associate Provost for Research. This role requires a highly organized professional who can manage multiple competing priorities, complex scheduling, and a broad range of administrative responsibilities with discretion and efficiency. Working closely with senior leadership and the broader research community, the Executive Assistant will help ensure the smooth day-to-day operations of the Office of Research while supporting strategic initiatives and research administration activities. Key Responsibilities Managing the VP/AP's calendar and coordinating complex meetings and events, including preparing agendas, compiling materials, recording minutes, and tracking follow-up actions. Arranging travel, processing expense reports, drafting correspondence, and supporting administrative approval processes. Coordinating logistics and operations for research-related committees and leadership groups, including scheduling meetings, reserving space, coordinating catering and travel, preparing meeting materials, and maintaining records and action items. Supporting research administration functions such as coordinating center reviews, organizing visits for scholars and guests, managing communications related to research awards and initiatives, and tracking deliverables for reports and special projects. Overseeing office operations such as procurement, supplies, space coordination, and records management while assisting with the planning and execution of research-related events and initiatives. Demonstrating exceptional organizational and communication skills, working independently and proactively, with strong attention to detail. Required Skills and Experience Bachelor’s degree and a minimum of 2 years of experience. Proficiency in Microsoft Office and calendar management systems. Ability to handle confidential information with discretion and professionalism.
