Office Manager
Position Overview
We are seeking a highly organized, professional, and bilingual Office Manager to oversee daily office operations and support a fast-paced business environment. The ideal candidate must be fluent in both English and Spanish and possess strong administrative, communication, and multitasking skills. This individual will serve as a key point of contact for employees, clients, and vendors while ensuring the office runs efficiently and professionally.
Key Responsibilities
• Manage day-to-day office operations and maintain an organized, professional work environment.
• Supervise administrative functions including scheduling, office supplies, filing systems, and vendor coordination.
• Serve as the primary point of contact for internal staff, clients, and external vendors in both English and Spanish.
• Answer and direct phone calls, emails, and correspondence professionally and efficiently.
• Coordinate meetings, calendars, travel arrangements, and company events as needed.
• Assist with onboarding, employee records, and general HR administrative support.
• Support accounting and finance functions including invoice processing, expense tracking, and basic reporting.
• Maintain confidential records and ensure compliance with company policies and procedures.
• Identify opportunities to improve office processes and operational efficiency.
• Provide administrative support to leadership and assist with special projects as assigned.
Qualifications
• Fluent in both English and Spanish (written and verbal) required.
• Previous experience as an Office Manager, Administrative Manager, Executive Assistant, or similar role preferred.
• Strong organizational skills with the ability to prioritize multiple tasks in a fast-paced environment.
• Excellent communication and interpersonal skills.
• Proficiency in Microsoft Office Suite including Excel, Outlook, Word, and Teams.
• Ability to maintain professionalism, confidentiality, and attention to detail.
• Strong problem-solving skills and ability to work independently.
Preferred Skills
• Experience supporting accounting, HR, or operations teams.
• Familiarity with QuickBooks, payroll systems, or CRM software is a plus.
• Customer service or client-facing experience preferred.
